Job Description
Job Title: Employee Relations/Registry Officer
Organisation: Uganda Electricity Distribution Company Limited (UEDCL)
Duty Station: Kampala, Uganda
To implement employee relations strategies and manage the HR registry ensuring accurate record-keeping, compliance with labor laws and fostering a positive work environment. The role supports the resolution of employee concerns, promotes workplace harmony and ensures the efficient handling of HR documentation and data.
Impact: The Employee Relations/Registry Officer plays a key role in maintaining harmonious employee relationships and efficient HR operations. By addressing workplace concerns and ensuring the integrity of HR records, the position enhances employee satisfaction, compliance and operational efficiency.
Duties, Roles and Responsibilities
Assist in implementing employee relations policies and procedures
Support the resolution of workplace conflicts and grievances in a fair and timely manner
Ensure adherence to labor laws and regulations in all employee relations activities
Provide advice on compliance-related matters to employees and management
Maintain the HR registry by ensuring all employee records, contracts and documents is accurate, secure and up to date
Ensure proper classification, storage, and retrieval of HR documents
Act as a liaison between employees and HR management to address concerns and provide information
Disseminate HR-related updates, policies, and initiatives to employees
Document and track grievances, disciplinary actions, and resolutions
Ensure adherence to grievance and disciplinary procedures
Maintain accurate data in HR systems and prepare reports on employee relations activities
Generate regular compliance and registry management reports
Expected Output
Timely and effective resolution of workplace concerns and grievances.
Accurate, secure, and accessible employee records and documentation.
Reports and records demonstrating adherence to labor laws and organizational policies.
Evidence of timely and clear communication of HR updates and initiatives.
Comprehensive logs documenting actions taken and outcomes achieved.
Accurate reports on employee relations activities, trends, and registry updates
Qualifications, Education and Competencies
Bachelor’s degree in human resource management, Industrial Relations, Business Administration, or a related field
Certification in labor law or industrial relations is an advantage.
Experience
A minimum of 3 years of experience in employee relations or HR operations, with experience in maintaining HR records and documentation
Familiarity with labor laws and grievance handling processes
Experience in the energy or utility sector is an added advantage.
Competencies
Knowledge of labor laws, employee relations practices, and HR policies
Proficiency in HR information systems and document management software
Strong organizational and data management skills
Excellent communication and interpersonal skills
Empathy and ability to handle sensitive employee concerns
Problem-solving and decision-making abilities
Attention to detail and commitment to accuracy
Ability to manage multiple tasks and meet deadlines
High level of confidentiality and integrity.
