How to Apply
The Junior Human Resources Specialist will be responsible for;
Providing support in the recruitment, selection and contracting of national Staff.
Providing clerical and administrative support for the Human Resources functions, and for the development and maintenance of policies and procedures.
Supporting with day-to-day operations of the HR functions and duties including orientation of new staff, and staff activities.
Keeping staff records/data updated.
Specific Tasks
The Junior Human Resources Specialist performs the following tasks:
Staff recruitment and selection
Downloads applications, profile and proper storage in the protected electronic locations.
Manages the scheduling and logistics of all interviews including sending invites to shortlisted candidates, organising interview venue, and clarifies for candidates any issues related to the recruitment process.
Supporting in interviewing candidates as assigned.
Preparing staff contracts.
Receiving and responding to inquiries involving job applications, status, and processes.
Filing of all recruitment related documentation for each selection process.
Notifying unsuccessful applicants.
Supporting in the induction of new staff.
Human Resources Information Systems and HR support
Compiles and updates employee records/data in electronic versions and ensuring documents are complete, up to date and stored in an easy to access electronic system.
Creates electronic staff files for all new staff and ensure documents are complete and updated in a timely and accurate manner.
Maintain trackers that may be required to manage general human resources information
Updating the staff list for the emergency messaging system EMNS for all GIZ staff that have left GIZ and those joining GIZ.
Audit Support
Supporting Audits by providing all Human Resource required information as requested by the Auditors.
Contract Management
Preparation of new staff contracts, contract amendments, and Job descriptions.
Staff assessment forms verification and filing.
Other Duties/Additional Tasks
Perform other duties and tasks at the request of management.
Bachelor’s degree in Human Resources Management, Business Administration, Law, or Social Sciences (preferably with a focus on HR Management) or comparable degree.
A Human Resources Certification is desirable.
Details of experience
3 years professional experience in a comparable role, from reputable organisations.
Knowledge, skills and competences
Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g., MS Office).
Good working knowledge of national labour and general law.
Knowledge of HR management.
Excellent command of English language.
Confidentiality in handling HR topics.
Good interpersonal and communication skills.
Excellent organizational and coordination skills
