Job Description
Identify and evaluate potential suppliers, vendors, and contractors through research, requests for proposals (RFPs), and supplier assessments. Maintain a database of qualified suppliers for future procurement needs
Duties and Responsibilities
Procurement Planning: Develop procurement plans and strategies in collaboration with relevant departments to ensure timely acquisition of goods and services while adhering to budgetary constraints and organizational needs.
Sourcing Suppliers: Identify and evaluate potential suppliers, vendors, and contractors through research, requests for proposals (RFPs), and supplier assessments. Maintain a database of qualified suppliers for future procurement needs.
Vendor Negotiation: Negotiate terms, pricing, and contracts with suppliers to secure favorable terms and conditions. Ensure compliance with procurement policies, regulations, and ethical standards.
Purchase Order Processing: Generate purchase orders and contracts based on approved requisitions and procurement requests. Coordinate with suppliers to confirm order details, delivery schedules, and payment terms.
Supplier Relationship Management: Build and maintain positive relationships with suppliers, vendors, and contractors to ensure reliable and timely delivery of goods and services. Address any issues or concerns that arise during the procurement process.
Quality Assurance: Collaborate with quality control and assurance teams to ensure that procured goods and services meet specified quality standards and requirements. Conduct inspections and quality checks as needed.
Inventory Management: Monitor inventory levels and procurement needs to prevent stockouts and ensure adequate supply of essential items. Coordinate with warehouse or inventory management teams to optimize stock levels and minimize excess inventory.
Contract Management: Manage procurement contracts throughout their lifecycle, including contract negotiation, execution, and performance monitoring. Ensure compliance with contract terms and conditions, and facilitate contract renewals or terminations as needed.
Procurement Documentation: Maintain accurate and up-to-date procurement records, including purchase orders, contracts, vendor agreements, and procurement reports. Ensure compliance with documentation and record-keeping requirements.
Compliance and Risk Management: Ensure compliance with relevant procurement laws, regulations, and organizational policies. Identify and mitigate procurement risks, such as supplier non-performance, delivery delays, or cost overruns.

Qualifications and Competencies
Education: A bachelor's degree in business administration, supply chain management, procurement, or a related field is typically required. Additional certifications such as Certified Professional in Supply Management (CPSM) or Chartered Institute of Procurement & Supply (CIPS) may be preferred.
Experience: Previous experience in procurement, purchasing, or supply chain management is often required, preferably in a similar industry or sector. Experience with procurement processes, contract negotiation, and vendor management is valuable.
Knowledge of Procurement Processes: Familiarity with procurement principles, practices, and procedures, including sourcing strategies, contract management, and supplier evaluation. Understanding of procurement laws, regulations, and ethical standards.
Negotiation Skills: Strong negotiation skills to secure favorable terms and pricing with suppliers, vendors, and contractors. Ability to communicate effectively, build rapport, and influence stakeholders during negotiations.
Analytical Skills: Analytical and critical thinking skills to evaluate supplier proposals, assess risks, and make informed procurement decisions. Ability to analyze data, trends, and market conditions to identify cost-saving opportunities.
Communication Skills: Excellent verbal and written communication skills to interact with internal stakeholders, external suppliers, and vendors. Ability to articulate procurement requirements, negotiate terms, and convey complex information clearly and concisely.
Attention to Detail: Meticulous attention to detail to ensure accuracy in procurement documentation, contract terms, and specifications. Ability to review and analyze procurement documents for completeness and compliance.
Organizational Skills: Strong organizational and time management skills to prioritize tasks, meet deadlines, and manage multiple procurement projects simultaneously. Ability to work efficiently in a fast-paced environment with competing priorities.
Computer Proficiency: Proficiency in using procurement software, databases, and Microsoft Office applications (e.g., Excel, Word, PowerPoint). Familiarity with enterprise resource planning (ERP) systems or procurement management software is advantageous.
Ethical Conduct: High ethical standards and integrity in conducting procurement activities. Adherence to procurement policies, regulations, and ethical guidelines, including avoidance of conflicts of interest and fair treatment of suppliers.
