Job Description
Job Title: Employee Relations Specialist
Department: Human Resources
Section: Employee Relations and Service Delivery
Reports To: Employee Relations & Service Delivery Manager
Supervises: None
Overall Purpose of the Job
The Employee Relations Specialist plays a key role in managing and strengthening the relationship between the organization and its employees. The role involves addressing employee concerns, ensuring compliance with labour laws, and contributing to the development of a positive and productive work environment. Responsibilities include mediating disputes, conducting investigations, advising on workplace policies, and supporting employee engagement initiatives.
Duties, Roles and Responsibilities
Conflict Resolution: Investigates and resolves employee complaints, grievances, and workplace disputes in a fair and timely manner.
Compliance: Ensures the organization adheres to employment laws, regulations, and internal policies. Coordinates employee physical exams where necessary, conducts background checks for new hires, and verifies employment-related data.
Employee Engagement: Develops and implements strategies to improve employee morale, satisfaction, and retention. Conducts exit interviews to gather feedback and identify trends.
Policy Development: Supports the creation, interpretation, and implementation of employee relations policies and procedures.
Communication: Promotes transparent communication between employees and management, encouraging open dialogue and mutual understanding.
Training: Designs and delivers training programs focused on employee relations, workplace conduct, and conflict resolution.
Consultation: Provides expert advice to managers and supervisors on employee relations issues and best practices.
Record Keeping: Maintains comprehensive and confidential records of employee relations cases, investigations, and actions taken.
Relationship Management: Builds and nurtures positive working relationships with employees across all levels of the organization.
Disciplinary Action Support: Assists in implementing performance management and disciplinary procedures in line with organizational policies.
Other Duties: Carries out any other related responsibilities as assigned by the Employee Relations & Service Delivery Manager or senior management.
Qualifications, Education and Competencies
Education: A bachelor’s degree in Human Resource Management, Industrial Relations, Psychology, Business, or a related field is required. Must be a paid-up member of HRMAU.
Experience, Skills, and Competencies: A minimum of 3 to 5 years of experience in a human resources role with a strong focus on employee relations. Experience working with trade unions and other key stakeholders is highly desirable.

Communication: Excellent verbal and written communication skills, along with strong interpersonal and active listening abilities.
Conflict Resolution: Skilled in mediating disputes, managing sensitive situations, and negotiating fair outcomes.
Analytical and Problem-Solving: Ability to analyze employee data, identify issues or trends, and recommend appropriate solutions.
Legal Knowledge: Solid understanding of employment laws, labour regulations, and compliance requirements.
Organizational Skills: Capable of managing multiple priorities, maintaining accurate records, and meeting deadlines.
Professionalism and : empathy and integrity when handling confidential and sensitive matters.
