Job Description
The Supervisor will be responsible for:
Managing the scheduling and deployment of training vehicles.
Ensuring all vehicles are functional and meet training requirements.
Developing and implementing preventive maintenance schedules.
Coordinating repairs and servicing with trusted workshops.
Maintaining detailed service records for each vehicle.
Ensuring compliance with Ugandan traffic laws and regulatory standards.
Conducting regular vehicle safety inspections.
Promoting road safety standards among instructors and trainees.
Managing the fleet operations budget and monitoring operational expenses.
Maintaining an up-to-date inventory of fleet assets.
Supervising driving instructors, trainee drivers, and mechanics.
Providing technical advice on vehicle handling and maintenance.
Conducting induction and refresher sessions on fleet safety procedures.
Developing a system for reporting and investigating accidents and incidents.
Collaborating with insurance providers for claims processing.
Advising on procurement of new training vehicles and driving aids.
Participating in training sessions on vehicle maintenance and safe operation.
Duties, Roles and Responsibilities
Oversee daily management and scheduling of training vehicles.
Ensure vehicles are available and fit for training purposes.
Plan and coordinate vehicle use for training and examinations.
Implement preventive maintenance and coordinate repairs.
Maintain service records and ensure compliance with traffic laws.
Conduct safety inspections and address any defects.
Promote road safety among staff and trainees.
Manage fleet operations budget and monitor expenses.
Maintain inventory of fleet assets and track vehicle movements.
Supervise instructors, trainees, and mechanics.
Provide technical guidance on vehicle handling and maintenance.
Conduct safety training sessions and develop reporting systems for incidents.
Collaborate with insurance providers and analyze incidents for corrective actions.
Advise on procurement of training vehicles and participate in training sessions.
Qualifications, Education and Competencies
Qualifications:
Bachelor's degree in Business Administration, Transport Management and Logistics, or a related field.
Certifications in Auto Mechanics, Fleet Management, Defensive Driving, or Vehicle Maintenance are added advantages.
Experience:
At least 3–5 years of experience in fleet management, preferably in an NGO, training institution, or transport-focused organization.
Experience working with maintenance workshops, procurement processes, and insurance claims handling.
Competencies:
Strong knowledge of vehicle mechanics and fleet management systems.
Excellent organizational and time management skills.
Strong problem-solving and decision-making abilities.
Good understanding of Ugandan transport laws and regulations.
Ability to supervise and train teams in a multicultural environment.
Proficiency in computer applications, especially MS Excel.
Business development skills are an added advantage.
Valid driving license (preferably Class A, B, CM) with an excellent driving history.
