Job Description
Stores Assistant
Reports to: Senior Area Manager
Duty Station: Lugogo Pole Plant
Job Purpose
To manage inventory and store operations within the assigned area, ensuring the accurate receipt, storage, distribution, and tracking of materials and supplies necessary for the operation of the electricity distribution network.
Impact: The Stores Assistant directly impacts the operational efficiency and effectiveness of UEDCL by ensuring that materials and supplies are available when needed. Proper inventory management helps minimize delays in service delivery, reduces costs associated with excess stock or shortages, and supports the overall performance and reliability of the electricity distribution network.
Duties, Roles and Responsibilities
Monitor and maintain optimal stock levels of materials and supplies, ensuring adequate availability for operational needs
Conduct regular inventory audits to ensure accuracy in stock records and identify discrepancies
Oversee the receipt of materials and supplies, ensuring proper documentation and inspection for quality and quantity upon delivery
Address any discrepancies or quality issues with suppliers promptly
Organize and maintain the storage area in accordance with safety regulations and best practices to ensure efficient access to materials
Implement proper labeling and tracking systems to facilitate easy retrieval of items.
Coordinate the timely distribution of materials to relevant departments and personnel, ensuring that all requests are fulfilled efficiently
Maintain accurate records of materials issued and returns to ensure accountability and traceability
Prepare and maintain accurate reports on inventory levels, stock movements, and usage patterns
Document all transactions related to receiving, storage, and distribution of materials to maintain compliance with company policies
Ensure compliance with company policies, safety regulations, and industry standards related to stores and inventory management
Promote a culture of safety within the stores environment by adhering to safe handling and storage practices.
Expected Output
Accurate and up-to-date inventory records, minimizing discrepancies and optimizing stock levels
Efficient receipt, storage, and distribution of materials, contributing to operational continuity and service delivery
Timely reporting and documentation of inventory activities, supporting transparency and compliance
Well-organized (Systemized) and safe storage areas that enhance efficiency and accessibility of materials
Positive contributions to overall cost management by reducing excess inventory and waste.
Qualifications, Education and Competencies
Person Specifications
Academic Qualifications
Bachelor’s Degree in Supply Chain Management, Business Administration, Finance, Logistics, or a related field
Full or ongoing Certification in inventory management, Accounting or related disciplines is an advantage.
Experience
2+ years of experience in stores, inventory management, or a similar role, preferably in the utilities or service industry.
Competencies
Strong ability to manage multiple tasks, prioritize effectively, and maintain accurate records
High level of accuracy in inventory management, documentation, and reporting
Proficiency in inventory management software and MS Office applications
Effective verbal and written communication skills for interaction with suppliers, colleagues, and management
Ability to identify issues related to inventory and supplies and develop practical solutions
Understanding of safety regulations and industry standards relevant to inventory and store management.
