Job Description
Reporting to the Manager, Patient Services Department (Finance Division), the role requires ensuring smooth reception operations, accurate patient billing, timely deposits, efficient communication, and exceptional customer service. The Coordinator will also serve as a cashier, handle insurance pre-authorizations, assist in patient admissions, update patient information, and resolve queries. The position requires strong attention to detail, accountability for financial transactions, and effective collaboration with both internal staff and external stakeholders.
Duties, Roles and Responsibilities
Deliver outstanding customer service to patients, visitors, and AKU staff, addressing inquiries and complaints promptly.
Provide consistent coverage at the reception/front desk.
Serve as cashier: process payments, issue receipts, and maintain manual invoicing during system downtime.
Admit patients and collect deposits in line with hospital guidelines.
Balance and deposit monies collected into the hospital banking system daily.
Verify patient data, bill accurately, and ensure corporate entitlements are correctly applied.
Process insurance pre-authorizations within 24 hours and liaise with insurers for approvals.
Answer phone calls promptly and communicate messages accurately.
Update patient contact details and manage appointment bookings and rescheduling.
Support colleagues in patient services to enhance departmental efficiency.
Escalate operational challenges to the Duty Supervisor/Manager.
Perform other duties as assigned to support patient care and department efficiency
Qualifications, Education and Competencies
Education
Diploma in Front Office Administration, Business Administration, or equivalent.
Experience
At least 3 months’ work experience, preferably in the hospitality industry.
Skills & Competencies
Excellent customer service and interpersonal skills.
Ability to multitask and remain detail-oriented.
Strong communication and problem-solving abilities.
High integrity, cultural sensitivity, and professionalism.
Good planning, organizational, and people management skills.
