The Human Resources Assistant is responsible for supporting the implementation of routine aspects of HR processes and procedures and will provide support to the various HR functions including recruitment, onboarding and HR data management.

Time and Attendance
Ensure department heads complete annual leave plans at the beginning of the year and the same are shared for consolidation.
Manage the Kefron online leave application and tracking platform. Train new staff on using the system.
Responsible for creation of timesheets for new staff and training staff on how to complete them.
Ensure all timesheets are submitted on time and saved on the folder on SP and hard copies kept on file.
Share monthly leave status reports with HR TL.
Analyse leave trends and advice relevant managers for teams with low adherence.
Records Management
Ensure that all supporting documentation for all the different HR processes is filed and support the audit team in retrieving staff files
Establish a tracking system for files requested for and ensure proper archiving of separated staff
Responsible for keeping the RED File uptodate – extracting emergency information from the RED Form
ID Processing & Visibility
Process Staff IDs for all new staff and staff with changes in positions
Process staff T-shirts & shirts and ensure distribution to all new & existing staff and maintain reserve stock for incoming staff
National Staff Reporting Requirements/HR metrics
Maintain an UpToDate staff list including joiners and leavers on SharePoint and share Monthly list with HH TL.
Update the national staff file as per HQ reporting requirements.
Keep track of national staff demographics and share input into the monthly Newsletter as requested.
Employee motivation
As part of staff motivation keep track of long serving staff members and share this monthly as part of the staff recognition process.
Process staff engagement event requests.
Staff Anniversaries – Keep an UpToDate file of staff Birthdays and share shoutouts monthly.
Staff wellbeing
Processing well-being basket contribution (bereavement, new mother support)
Staff Separation
Process Certificates of service for all separating staff
Organize the staff farewell.
Payroll
Review driver overtime for all locations and submit to HRBP by 10th of each month.
A bachelor’s degree in human resource management
Minimum of 2 years’ experience in providing support to HR processes.
Ability to pay attention to detail.
Good analytical, organization and communication skills.
Proficiency in MS Word, Excel.
Ability to work independently and in a team environment
