Job Description
The HR & Administration Officer role will support the smooth day-to-day running by managing staff matters and handling administrative duties.
The role ensures compliance with the Employment Act, 2006 (Uganda), HR Manual, Code of Conduct and other relevant regulations while maintaining an organized, safe and supportive school environment.
Duties, Roles and Responsibilities
- Coordinate recruitment, reference checks, contract issuance, onboarding, and probation management in line with the HR Manual.
- Ensure staff compliance with the HR Manual, Code of Conduct, and safeguarding policies, including periodic refresher training.
- Coordinate probationary and annual performance appraisals and implement Performance Improvement Plans where necessary.
- Handle disciplinary and grievance processes fairly, confidentially, and in accordance with school policy.
- Administer leave (annual, sick, maternity, paternity, compassionate) and maintain accurate attendance records.
- Prepare payroll inputs and ensure statutory compliance (e.g., PAYE, NSSF).
- Maintain confidential and up-to-date personnel records
- Manage staff exit processes, including clearance and issuance of Certificates of Service.
- Oversee compliance and supervision of temporary, part-time, and volunteer staff.
- Manage school records and documentation (staff and operational records).
- Handle correspondence and maintain organized filing systems.
- Monitor office and classroom supplies.
- Support small-scale procurement and maintain inventory records.
- Assist in maintaining required documentation for local education authorities and inspections.
- Provide administrative support during admissions and parent communications.
- Assist in organizing school meetings and events.
- Report maintenance issues and follow up on repairs to ensure a safe environment for children and staff.
