Job Description
Reporting directly to the Country Director, the Head of Operations will be responsible for overseeing the daily operations of WWF Tanzania Country Office, ensuring smooth administrative, procurement, IT, and logistics processes. The role will involve developing systems and procedures for effective resource management, ensuring compliance with national regulations, liaising with government authorities, managing assets and vehicle fleets, supporting expatriate staff with immigration processes, and leading a team of operations and IT staff. The Head of Operations will also provide strategic leadership in IT infrastructure, procurement efficiency, and operational cost management, ensuring that WWF TCO maintains a strong foundation to deliver conservation goals.
Duties, Roles and Responsibilities
Provide strategic leadership to operations, procurement, logistics, administration, and IT functions.
Develop, review, and improve operational systems, policies, and procedures.
Ensure compliance with Government of Tanzania regulations impacting WWF operations.
Oversee processing of work permits, visas, tax exemption certificates, and related documentation.
Manage contracts, leases, and third-party agreements, ensuring timely renewals and compliance.
Lead procurement processes in line with WWF policies, serving as Secretary to the Procurement Committee.
Maintain and oversee the Fixed Asset Register, ensuring accurate records and regular inventory checks.
Oversee fleet and vehicle management, office equipment maintenance, and IT infrastructure.
Provide costing information to Finance for budgeting and project planning.
Ensure proper archiving, filing, and records management for finance and administration.
Manage supplier relationships and ensure value-for-money procurement decisions.
Provide IT leadership, overseeing network administration, security, helpdesk, and database management.
Supervise, coach, and appraise operations, logistics, and IT staff.
Represent WWF in negotiations, government engagements, and legal matters.
Ensure application of WWF core values: Courage, Integrity, Respect, and Collaboration.
Qualifications, Education and Competencies
Master’s degree in Business Administration, Social Sciences, or related field.
Minimum of 7 years’ experience in a similar role within an international NGO.
Proven leadership, administrative, and managerial skills.
Strong knowledge of government regulatory processes, particularly immigration, foreign affairs, and finance.
Experience in procurement, contract negotiation, and asset management.
Strong IT knowledge; familiarity with Oracle ESP is an added advantage.
Excellent time management, organizational, and analytical skills.
Ability to work independently, prioritize tasks, and meet strict deadlines.
Excellent interpersonal and communication skills with multicultural sensitivity.
Fluency in English; Kiswahili is an advantage.
High level of integrity, adaptability, and commitment to conservation values.
