Bidvest Facilities Management
Job Description
Reporting to the Corporate Division, the Fleet Specialist will be responsible for the financial, operational, and administrative management of the company’s fleet. Key tasks include managing insurance claims, maintaining master data records, ensuring regulatory compliance, overseeing fleet quality standards, and introducing process improvements through technological solutions. The role requires strong financial oversight, data integrity, vendor coordination, and adherence to road traffic and safety requirements.
Duties, Roles and Responsibilities
Financial Management
Support insurance processes including expenditure and claims.
Process accounts and ensure correct invoicing.
Maintain proper controls over expenses and approvals.
Asset Management
Maintain master database of drivers, licenses, and vehicle details.
Document fleet data and maintain reporting platforms.
Ensure high accuracy and timely updates of fleet information.
Customer and Stakeholder Management
Manage client relations and support executives in achieving CSI targets.
Maintain and update SPOC (single point of contact) matrices.
Internal Controls and Administration
Proactively identify and resolve problems.
Ensure communication of relevant changes.
Manage driver/vehicle files, cost center allocations, and insurance claims.
Oversee licensing, registration, and tracking device compliance.
Drive digitization of manual processes.
Quality Standards and Operations
Conduct monthly fleet inspections and audits.
Maintain fleet quality in line with SLAs, regulatory standards, and road safety laws.
Distribute fleet requirements (fuel cards, E-tags, licenses, fines, proxy forms).
Liaise with vendors for repairs and maintenance.
Ensure compliance with all processes and regulations.
Fuel Management
Support management of fuel usage, generators, and mobile fleets.
Qualifications, Education and Competencies
Qualifications
Grade 12 (Matric).
Tertiary qualification in Logistics, Fleet, or Supply Chain Management (diploma/degree).
Valid Code B Driver’s License.
Experience & Knowledge
3–5 years’ experience in fleet management.
Logistics, distribution, and fleet management expertise.
Knowledge of financial management, supply chain, HR/IR processes.
ISO 9001:2008 quality management knowledge.
Proficient in MS Office (Excel intermediate+).
SAP knowledge advantageous.
Up-to-date with South African road traffic regulations.
Understanding of OHASA requirements.
