Job Description
The Executive Assistant will provide high-level administrative support to the Managing Director, manage office operations, coordinate meetings, oversee travel arrangements, and ensure timely processing of contracts and reports. The role also involves human resource support, financial reporting, and communication tasks. The successful candidate must be experienced, self-driven, and capable of handling sensitive information with discretion.
Duties, Roles and Responsibilities
Provide day-to-day administrative support for efficient office operations
Schedule meetings and prepare the Director for engagements
Take minutes, handle filing, and manage budgeting tasks
Manage incoming and outgoing correspondence
Handle travel arrangements (flights, visas, accommodation)
Compile and report office expenses on a monthly or quarterly basis
Administer contracts and support processing of contractor/consultant invoices
Guide staff on administrative procedures and claim retirements
Assist with human resource tasks including report reviews
Draft routine personalized correspondences and manage clerical tasks
Qualifications, Education and Competencies
Bachelor’s degree in Secretarial Studies or a related field with administrative certification
Formal training in IT and computer applications
Minimum of 3 years’ experience as an administrative assistant in a dynamic, multicultural institution
Additional training in formal communication and professional writing is an advantage
Strong organizational, interpersonal, and multitasking abilities
Excellent written and verbal communication skills
