Job Description
The successful candidate will ensure the smooth running of daily office functions by managing appointments, handling visitors and calls, maintaining records, ensuring confidentiality of information, and supporting departmental administration. The role also includes managing petty cash, coordinating travel logistics, and undertaking secretarial duties such as typing, drafting routine correspondence, and maintaining file movement records.
Duties, Roles and Responsibilities
Attend to visitors and clients courteously and professionally
Handle telephone calls, inquiries, and complaints
Ensure the security and confidentiality of office records, documents, and equipment
Maintain accurate records of correspondences and file movement
Manage office protocol and etiquette for the respective department
Handle petty cash and maintain related records
Coordinate the administration of the assigned office/department
Schedule and manage meetings and appointments
Organize travel arrangements and itineraries for senior staff
Draft and respond to routine correspondence
Ensure procedures for record keeping are followed effectively
Uphold data security, integrity, and confidentiality
Perform any other relevant administrative duties as assigned
Qualifications, Education and Competencies
Bachelor’s degree in Secretarial Studies or a related field from a recognized institution
Must have passed the following KNEC examinations:
Typewriting III (minimum 50 w.p.m.) or Computerized Document Processing III
Shorthand III (120 w.p.m.)
Business English III / Communications I
Office Management III / Office Administration and Management III
Secretarial Duties II
Commerce II
Proficiency in computer applications
Demonstrated results and effectiveness in previous roles
