Job Description
Reporting to the Deputy Director – Administration, the jobholder will be responsible for producing reports and managing confidential documents, handling executive schedules and travel logistics, managing office communications and public relations, maintaining filing systems and data records, and coordinating internal departmental communication. The role also includes receiving calls, tracking file movement, arranging travel, and supporting staff welfare activities.
The position requires high organizational and communication skills, discretion, and a proactive approach to handling multiple administrative functions.
Duties, Roles and Responsibilities
Prepare documents, briefing papers, and reports while maintaining confidentiality
Manage office diary, appointments, and travel logistics for management
Handle public relations, incoming calls, correspondence, and protocol management
Maintain filing systems and data records
Coordinate interdepartmental communication and stakeholder engagement
Answer and direct telephone calls appropriately
Arrange staff travel within the department
Track and maintain accountability of office files
Receive documents requiring notation or signature
Support staff welfare initiatives
Handle office imprest and basic financial processes
Qualifications, Education and Competencies
Minimum Qualifications:
Diploma in Secretarial Studies or equivalent from a recognized institution
KCSE mean grade of C or equivalent
Certificate in computer applications
Experience:
At least four (4) years of relevant work experience
Key Competencies:
Strong administrative and organizational skills
Excellent communication and interpersonal skills
High level of discretion and confidentiality
Proficiency in office systems and technology
