The AIDS Support Organization (TAS0 Uganda), is an Organization contributing to quality health and social interventions with emphasis on HIV/ABS, TB, Malaria, and emerging public health threats through health and community systems strengthening, research, and capacity development in Uganda and other countries. TASO requires the services of dedicated, competent, innovative and result-oriented individuals for employment on a contract basis for the post below;
Job Title: (09) REF: TS/HIU/OPSP/1/25: Human Resources and Administration Assistant (02)
Classification: Contract-full time
Salary: Commensurate with training and experience
Reports to: Human Resource and Operations Manager
Duty Station: TASO Jinja & Gulu center of Excellence (COE)
Supervises: None
Main purpose of the job:
To provide human resource and administrative support in the delivery of efficient and effective HR services at the Centre.
Key Outputs
• Staff welfare and relations handled
• staff recruitment and exit function coordinated
• timely staff performance appraisal coordinated
• timely staff capacity development initiatives processed
• staff records maintained
• administrative departmental support provided
Duties, Roles and Responsibilities
Coordinate and manage the staff recruitment and selection process
Assist in the implementation of TAS0 HR and administrative policies, procedures, standards and performance management initiative's
Coordinate new staff induction and orientation
Coordinate staff performance appraisal and roll out the performance appraisal tools
Coordinate staff exits and ensure clearance follow up
Record staff training plans and actual performance and ensure they are filed and safely kept
Liaise with Human Resource Operations Manager to ensure that departments develop their weekly, monthly and quarterly work plans
Keep under strict custody all staff personal files and other relevant documents
Receive, register and forward all incoming mails and dispatch outgoing mails
Attend to staff welfare issues
Coordinate office accommodation and ensure that offices are well cleaned and maintained
Supervise the cleaning, gardening and security services
Mange office logistics like telephone, electricity, water and internet
Monitor the functionality of office equipment and machinery
Prepare HR and administrative reports
Ensure highest levels of professionalism and integrity of staff
Qualifications, Education and Competencies
PERSON SPECIFICATIONS: Human Resources and Administration Assistant
Minimum Academic Qualifications: Bachelor's in Human Resource Management, Social Sciences, Business Administration and Arts
Additional training necessary
• Customer care
• Administrative Law
• Computer training
Minimum Experience and Exposure: 3 years in Human Resource and Administration roles in a busy environment and in health related or projects setting
Special knowledge:
• Knowledge of HR administration principles and procedures
• Knowledge of management of staff welfare and relations
• Good understanding of management of performance appraisals
• Good understanding of the national labour laws
Key Skills
• Computer skills
• Communication skills
• Planning and organizing skills
