Job Description
This position is located in the Asset Management section of the General Services Office (GSO) and directly supervises three (3) Supply Clerks, FSN-5. Incumbent is responsible for the direction, maintenance, and accountability of the Asset Management operations for the Embassy and associated agencies. Position is directly supervised by the Property Management Supervisor.
Duties and Responsibilities
Inventory Management: The Supply Supervisor is responsible for maintaining accurate inventory records, tracking stock levels, and managing inventory replenishment processes to ensure adequate supply levels while minimizing excess inventory.
Procurement: They oversee the procurement process, including sourcing suppliers, negotiating contracts, and placing orders for materials, supplies, and equipment needed for production or operations.
Supplier Management: The Supply Supervisor manages relationships with suppliers, evaluating their performance, negotiating terms, and resolving any issues or discrepancies related to orders, deliveries, or quality.
Logistics Coordination: They coordinate the movement of goods and materials, including receiving, storing, and distributing items to various departments or locations within the organization. They may also arrange transportation and logistics services as needed.
Quality Control: The Supply Supervisor ensures that all incoming materials and supplies meet quality standards and specifications. They may conduct inspections, perform quality checks, and implement corrective actions when necessary.
Documentation and Reporting: They maintain accurate records of inventory levels, transactions, and procurement activities. They prepare regular reports on inventory status, procurement costs, and supplier performance for management review.
Process Improvement: The Supply Supervisor identifies opportunities to improve efficiency, reduce costs, and optimize inventory management processes. They may implement new systems, procedures, or technologies to streamline operations and increase productivity.
Team Leadership: They lead and supervise a team of supply chain or warehouse staff, providing guidance, training, and support to ensure that tasks are completed accurately and efficiently.
Qualifications and Competencies
Education: A bachelor's degree in supply chain management, logistics, business administration, or a related field is typically required for a Supply Supervisor position. Some employers may prefer candidates with additional certifications or advanced degrees.
Experience: Candidates should have several years of experience in supply chain management, logistics, or inventory control, preferably in a supervisory or leadership role. Experience in a similar industry or sector is often preferred.
Knowledge of Supply Chain Principles: Candidates should have a solid understanding of supply chain principles, inventory management techniques, and procurement processes. They should be familiar with relevant regulations, standards, and best practices in the field.
Analytical Skills: Supply Supervisors should possess strong analytical skills, with the ability to analyze data, identify trends, and make data-driven decisions to optimize inventory levels, reduce costs, and improve efficiency.
Communication Skills: Effective communication skills are essential for Supply Supervisors to interact with suppliers, colleagues, and other stakeholders. They should be able to clearly convey instructions, negotiate terms, and resolve issues diplomatically.
Organizational Skills: They should be highly organized and detail-oriented, capable of managing multiple tasks, priorities, and deadlines effectively in a fast-paced environment.
Problem-Solving Abilities: Supply Supervisors should be proactive and resourceful problem solvers, able to anticipate potential issues, identify root causes, and implement solutions to prevent disruptions to supply chain operations.
Technical Proficiency: Proficiency in using inventory management software, ERP (Enterprise Resource Planning) systems, and other relevant tools and technologies is often required for Supply Supervisors to effectively manage inventory and procurement processes.
