Job Description
This standard job description is for a Supply Clerk (Receiving) who manages the receiving, tracking, inspection, distributing, and inventory of property management services for the Department of State and associated agencies. The position is in the General Services Section and under the supervision of the GSO Supply Supervisor (Receiving).
Duties and Responsibilities
Receiving Shipments: Supply Clerks (Receiving) are responsible for receiving incoming shipments of materials, equipment, and supplies. They verify the accuracy of shipments by comparing received items to purchase orders, packing lists, or delivery schedules.
Inspection: They inspect received items for damage, defects, or discrepancies. This may involve visually inspecting items, checking for proper labeling and packaging, and reporting any issues to the appropriate personnel.
Documentation: Supply Clerks (Receiving) maintain accurate records of received shipments, including documenting quantities received, recording serial or batch numbers, and updating inventory databases or systems.
Quality Control: They ensure that received items meet quality standards and specifications. They may perform quality inspections or tests as required and collaborate with vendors or suppliers to resolve quality issues.
Inventory Management: Supply Clerks (Receiving) organize and store received items in designated warehouse locations. They ensure proper storage conditions to prevent damage or spoilage and maintain inventory accuracy through regular cycle counts or stocktaking.
Communication: They communicate with vendors, suppliers, and internal stakeholders to coordinate delivery schedules, resolve delivery discrepancies, and provide updates on shipment status.
Safety Compliance: Supply Clerks (Receiving) adhere to safety protocols and procedures while handling and storing materials. They may use personal protective equipment (PPE) and follow safe lifting and handling practices to prevent accidents and injuries.
Collaboration: They work closely with other members of the supply chain or logistics team, as well as with purchasing, inventory control, and warehouse personnel, to ensure smooth operations and timely delivery of materials.
Qualifications and Competencies
Education: A high school diploma or equivalent is typically required for Supply Clerk (Receiving) positions. Additional education or training in logistics, supply chain management, or a related field may be beneficial.
Experience: While previous experience in a similar role is preferred, it's not always a strict requirement for entry-level Supply Clerk (Receiving) positions. However, candidates with relevant experience in shipping, receiving, or warehouse operations may have an advantage.
