Job Description
Job Title: Project Document Coordinator

Duty Station: Kampala, Uganda
Duties, Roles and Responsibilities
The position holder shall have the following responsibilities:
Surface (EPSCC and Enabling Infrastructure) stakeholder coordinator
Responsible for supporting the surface team with regards to management of inputs and outputs for meetings with stakeholders
Be the focal point or be informed by Business Development teams for day-to-day coordination/planification related to stakeholders meetings management
Initiate the preparation of slides for the surface teams, expediting with the team members for their part of the slide packs
Gather, review and finalize slides to avoid any inconsistency
Send slide pack to Business Development teams or any other Entity in due time to get ready for the presentation after SURF Management validation
Collect actions resulting from minutes of meetings for surface team members and ensure they are answered and expediting in due time
Accountable for ensuring all required documents are ready and available for internal and external meetings.
Interface with Project Controls, Business Development, Package Managers, Discipline leads, PMT, to ensure alignment on the project documentation requirements and information and document management processes.
Responsible to continuously monitor and harmonize the data to ensure all data are accurate and reliable for management follow-up and decision.
Participate to meetings with contractors, PAU and other relevant stakeholders as required.
Maintain and report on KPIs on monthly basis.
Lead the effort to develop robust reporting tools.
Continuously evaluate effectiveness of the information/document management processes and procedures and participates in their upgrades as required.
Work closely with Project teams based in Uganda and United Kingdom.
Qualifications, Education and Competencies
Qualification:
Bachelor of Arts or Science degree in Business Management, International Relations, Communication.
Experience:
Minimum 3 years of experience in Oil and Gas Project.
Experience within Engineering, Procurement and Constructions (EPC) organizations in the oil and gas industry.
Previous working experience with Reporting, Audit/compliance verification, Communication. And generating reports, dashboard, KPI
Excellent writing, presentations and communication skills.
Excellent interpersonal, experience in dealing with different cultural background and multi locations.
Excellent organizational capacities and some understanding of engineering, technical documentations.
Team player, capable of coordinating multiples and complex documents.
Ability to propose solutions to blocking points for management approval.
Excellent knowledge in dealing with MS Office suite of software (Excel, Word, PowerPoint), Adobe Acrobat Pro and Electronic Document Management Systems (SharePoint, Documentum).
