Job Description
The Operations Assistant will work closely with various departments to facilitate efficient administrative workflows. Responsibilities include general office administration, managing and reconciling data, assisting with payroll coordination, maintaining employee records, and supporting recruitment and onboarding processes. Additionally, the role requires direct involvement in sales order processing, stock level monitoring, and client communication. The assistant will also ensure accurate reporting, system alignment with physical inventory, and compliance with company standards.
Duties, Roles and Responsibilities
General Administration:
Support all departments with filing, reporting, and other administrative tasks.
Payroll and HR Coordination:
Manage information flow to outsourced payroll team.
Handle payroll-related queries.
Maintain employee records (digital and hard copy).
Assist in recruitment and onboarding activities.
Coordinate training sessions.
Maintain monthly leave records.
Serve as a contact point for HR-related matters and escalate complex issues when necessary.
Customer Service, CTO, and Plant Admin Support:
Capture and review sales orders.
Monitor stock levels and coordinate purchase orders.
Assist with invoicing and client communication.
Oversee data reporting in company systems.
Ensure accuracy between system records and physical inventory.
Identify inefficiencies in admin processes and propose improvements.
Ensure compliance with company standards and regulations.
Qualifications, Education and Competencies
Minimum Qualifications:
Matric Certificate
Relevant tertiary qualification (Diploma or Degree)
Experience and Skills:
Proven administrative experience
Data management and reporting experience in a manufacturing environment (advantageous)
Proficiency in Microsoft Office (especially Excel) and ERP systems
Strong problem-solving and organizational skills
Key Competencies:

Ability to handle confidential information
Strong analytical and time management skills
Adaptability and team-oriented attitude
Commitment to operational excellence
