Job Title:  National Sponsorship Operations Coordinator

Duties, Roles and Responsibilities

Effective Management and Coordination of Sponsorship Operations Indicators and Child Monitoring Standards:

  • Effectively manage the sponsorship correspondence unit and supervise Sponsorship Correspondence Assistants within the unit to deliver quality correspondence operations within partnership standards.

  • Analyze and share periodical National SOIs Performance status, highlighting management issues and engage the respective stakeholders (Sponsor Letters, E Letters, Parcels, Cards, Letters, Farewell, Introductory Letters, and Support Office Requests)

  • Analyze and follow through on RC Monitoring and advise the Regions respectively on RCs not being monitored within the partnership standard of 90 days

  • Effectively manage the National Office RC selection, Supply, and recruitment within the agreed commitments with Support Offices and within the partnership standards of 102%

  • Conduct performance appraisals, tracking, and coaching for the Sponsorship Correspondence Assistants.

SOP Design, Monitoring, Evaluation, Accountability & Learning.

  • Collaborate with stakeholders to conduct sponsorship feasibility and risk assessment for new APs.

  • Provide technical support in sponsorship community engagements and APA processes

  • Support designing of the National SOP – DIP, Log frames, and budgets.

  • Support and monitor the implementation of the SOP (DIP and Budgets)

  • Conduct SOP annual learning and reflection forums

  • Guide SOP evaluations and Baseline surveys

  • Conduct semi-annual and annual quality review of DIPs, budgets, and annual reports

  • Consolidate and submit quality Periodical monthly, quarterly & annual Performance reports.

  • Provide quality assurance in AP Transition processes and communications, including Farewell letter, Project closure comments, Community Farewell Video, Community Farewell Photos

  • Work with MEAL to review the AP SOP Reports and Detailed Implementation Plan

  • Consolidate the periodical National SOP Report

Staff mentorship and capacity building.

  • Coordinate Production of Annual Progress Reports, Child Engagement Worksheets, Christmas Cards, RC Wellbeing Data Update, and their Reconciliations with APs, Clusters, Region, Support Offices, and Global Centre.

  • Coordinate the designing and children’s input of both the Christmas cards, Child Engagement Worksheets, and Annual Progress Reports, respectively

  • Support and Monitor Timely, Accurate, and Validate RC wellbeing and Biodata update engagements with the Area Programs, Support Offices, and Global Centre, and provide the required technical guidance

  • Effectively manage the review and updating of the AP Annual Progress Reports, impact data stories, and information in line with the planned technical programs within partnership standards and global requirements

  • Provide periodical performance updates & reconciliations of Annual Progress Reports, Child Engagement Worksheets & Christmas Cards

  • Coordinate production and provide guidance to the content of the Annual Progress Reports and Christmas cards

  • Work with relevant stakeholders to develop the National Office Annual and seasonal Messages and videos with facts about transformation and specific celebrations like Christmas

  • Develop quality Assurance guidelines and frameworks for annual contents, child engagements, and uploading of the required samples.

  • Increase Sponsor Engagements through Quality Sponsorship 2.0 Rich Media/APA Content Production and CGP Expansion/CGV

  • Develop and periodically update the National Child and Community content Production plan in line with Global Centre guidelines and tools

  • Work with the Training Coordinator to Train and or refresh volunteers and staff with skills of capturing quality media content and coding

  • Review all AP Sponsorship 2.0 child and Community media Contents Reports and provide necessary actions

  • Collaborate with Global Centre to reconcile and provide periodical updates on Child Update Photos, Child Update Videos, Community Update Photos, Community Update Videos, APA journey, CGP expansions/CGV and Community Farewell Video

  • Coordinate the production of special Videos and photo productions like the manager’s annual Videos/community updates contents

  • Work with Communications to document, produce, and publish child impact stories.

  • Registered Children’s Participation and Benefit

  • Lead and support APs in the establishment and functionality of Child Development and Participation Centres through capacity building.

  • Ensure RCs are mapped and tagged to benefit from age appropriate IPF interventions.

  • Support APs to develop an integrated RC Participation framework.

  • Update the RC case management guidelines.

  • Monitor and share National periodical RC wellbeing Participation performance reports with stakeholders for case management.

  • Develop and update age-appropriate guidelines and curriculums for life-sustaining skills for registered children, sponsored young adults, and adolescents in the Programme

  • Develop strategies and guidelines for child participation forums and centres, and facilitate their rollout

  • Develop/update and roll out child engagement tools like storyteller and monitor their utilization

  • Document and share child participation best practices and transformation stories.

  • Gifts Management: Gift Notifications, Bounce Backs, and Other Gifts

  • Coordinate the management, batching, and reconciliation of the Gift Notifications and Community GNs with APs and Support offices

  • Analyse and provide periodic updates on GN implementation

  • Support and consolidate bounce-back proposals and submit to support offices within partnership standards.

  • Collaborate with support services and APs to ensure timely implementation of gifts.

  • Consolidate and submit bounce-back reports to support offices within partnership standards.

  • Collaborate with the communications and marketing department to document success and media marketing stories.

Risk Management and Compliance

  • Identify and mitigate potential risks that could affect the WV sponsorship.

  • Evaluating the identified risks to understand their potential impact and likelihood.

  • Developing strategies to reduce or eliminate the impact of risks.

  • Continuously tracking and reviewing risks to ensure they are managed effectively.

  • Prepare sponsorship risk disaster mitigation plans to handle unexpected adverse events.

  • Conducting regular sponsorship compliance checks to align with internal and external standards.

  • Providing training to employees on compliance requirements and best practices.

  • Maintaining records of compliance activities and reporting to the sponsorship manager as required.

  • Support sponsorship operations in adhering to child and adult safeguarding standards.

Stakeholder and Partner Engagements

  • Engage with Regions, Support Offices, and the Global Centre on outstanding correspondence tasks

  • Coordinate Sponsor Visits from Support Offices.

  • Facilitate integration with other IPF specialists for technical backstopping on child well-being issues

  • Support local level partnering for sponsorship management and Child Well Being (CWB) through regular training.

  • Coordinate timely renewal of MOUs with local-level partners

Qualifications, Education and Competencies

  • 3 Years’ work experience with Staff and community engagements to deliver specific operational demands within standards

  • High discipline of execution within standards and strict timelines. Ability to work and deliver with other teams and a committed Christian

  • Required Education, training, license, registration, and certification

  • A Bachelor’s Degree in Social Sciences is a priority, Business Computing / IT or related field from a recognized university.

  • Professional technical skill desired

  • Computer skills in Windows, MS Excel, Word, publisher, and PowerPoint.

  • Proven negotiation skills.

  • Fluent writing and spoken English.

  • Communication skills.

  • Responsiveness.
