Position Overview

Aga Khan Education Services (AKES) is seeking a proactive and detail-oriented Human Resources Officer to support the day-to-day operations of the Human Resources and Administration functions. The role will encompass a broad range of HR responsibilities including leave tracking, recruitment coordination, personnel file management, HR systems updates, and immigration support for international staff.

Duties, Roles and Responsibilities

Leave Management

  • Record all staff leave in the Time & Attendance software.

  • Review leave forms for completeness and accuracy; ensure proper filing.

  • Monitor leave records and ensure compliance with leave policies.

  • Update leave plans for administrative staff and prepare monthly reports.

Recruitment Support

  • Receive and organize all job applications (both hard and soft copies).

  • Assist in coordinating interviews, including scheduling, room setup, and material preparation.

  • Maintain organized and well-labeled recruitment records.

Personnel File Management

  • Maintain up-to-date personnel records (physical and digital), ensuring all necessary documentation is present.

  • Label and organize files alphabetically.

  • Archive files of separated staff with all required documentation.

HRIS (PeopleSoft)

  • Update employee time and attendance records promptly and accurately.

Immigration Support

  • Process work permits, dependent passes, student passes, and special passes for international staff and their families.

  • Renew work permits as needed with HRM approval.

  • Follow up on claims for security bond refunds.

Administrative Support

  • Respond to employee queries related to HR policies and issues.

  • Ensure utility bills are received and processed for payment.

  • Maintain updated records of staff housing.

  • Support daily HR operations and perform other duties as assigned.

Qualifications, Education and Competencies

  • Bachelor's degree in Business Administration, Human Resource Management, or a related field.

  • Minimum of 5 years’ proven experience in an HR Officer or Administrator role.

  • Solid understanding of core HR functions, including payroll, recruitment, and training.

  • Familiarity with Uganda’s labor laws and disciplinary procedures.

  • Experience with HRMS systems (PeopleSoft preferred) is an added advantage.


Skills & Competencies

  • Excellent organizational and time-management skills.

  • Strong interpersonal and communication skills.

  • Proficiency in MS Office Suite.

  • Ability to work collaboratively across departments and levels.

  • High level of discretion and confidentiality.
