Job Description

This is a contract, on-site position based in Kampala, offering a unique opportunity for a passionate HR professional at the early stage of their career. The HR Apprentice will assist in maintaining accurate employee data and records, coordinating onboarding and offboarding processes, drafting standard HR documents, and supporting employee engagement activities. Reporting to the HR Services Officer and HR Business Support Manager, the Apprentice will engage directly with internal departments, new hires, and service providers to support HR operational efficiency.

How to Apply

A. Employee Records & Data Management

  • Maintain up-to-date employee records in both physical and digital formats

  • File all employment documentation and track record completeness

  • Support audits by organizing and retrieving employee files

  • Ensure all data is managed in compliance with privacy and confidentiality policies


B. Onboarding & Offboarding Support

  • Prepare induction packs and assist with pre-employment checks

  • Coordinate onboarding logistics and schedule medical checkups

  • Track completion of onboarding/offboarding activities

  • Organize exit processes and ensure documentation is properly filed


C. HR Documentation & Letter Preparation

  • Draft standard employee letters and HR templates

  • Prepare documents related to employee role changes and transfers

  • Maintain and update HR documentation templates and files


D. HR Events & Team Coordination

  • Assist with planning and coordination of HR events and wellness activities

  • Support logistics for meetings, training sessions, and engagement initiatives

  • Update the HR events calendar and track departmental tasks and progress

  • Assist in organizing HR team meetings, recording action items, and follow-ups

  • Bachelor’s degree in Human Resource Management, Business Administration, or related humanities field

  • Membership in HRMAU or a recognized HR professional association is an added advantage

  • Prior internship or administrative experience in an HR setting is required

  • Understanding of employee data privacy and confidentiality standards

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Strong attention to detail and organizational skills

  • Excellent interpersonal and communication skills

  • High integrity and ability to handle sensitive information discreetly

  • Willingness to learn and grow within the HR profession
