Job Description
The Guest Relations Executive will deliver a seamless, warm, and professional experience throughout the guest journey. You will welcome and orient guests, anticipate needs, respond to inquiries, and coordinate special requests (including VIP handling). The role includes preparing welcome materials, providing accurate information on hotel amenities and local attractions, promoting services, and maintaining meticulous daily logs. You will resolve or escalate complaints promptly, liaise with Front Office, Housekeeping, F&B and Sales to personalise stays, and ensure compliance with health, safety, and quality standards. Success will be reflected in guest satisfaction, service recovery effectiveness, and positive reviews/feedback.
Duties, Roles and Responsibilities
Review daily arrival lists; welcome guests on arrival and ensure smooth check-in/out support.
Attend to VIPs and special guests; handle and document special requests.
Prepare welcome folders/collateral (e.g., room service menus, local area guides).
Provide accurate information on hotel amenities, local areas, and venues; proactively promote hotel services and offers.
Anticipate guest needs, build rapport, and provide personalised assistance (e.g., confirming travel arrangements, taking messages).
Address and resolve guest complaints; escalate to the Guest Relations Manager when necessary and follow through on service recovery.
Maintain a daily logbook of guest interactions, requests, incidents, and resolutions.
Coordinate with internal departments to ensure service standards and timely task completion.
Ensure compliance with health, safety, and quality standards at all times.
Qualifications, Education and Competencies
Bachelor’s degree or Diploma in Marketing, Business Administration, or a related field.
Minimum of 5 years’ experience in a similar guest relations/front office role.
Experience in a 4/5-star hotel environment.
PMS knowledge (eZee/OPERA) is an advantage.
Excellent communication, interpersonal, and problem-solving skills.
Strong organisation and multitasking; calm under pressure with a customer-centric mindset.
Professional grooming and etiquette; proficiency in MS Office.
