Job Description
Reports To: General Manager
The Finance and Administration Officer will be responsible for overseeing day-to-day financial and administrative operations of SWRW. The role ensures accurate financial management, compliance with internal policies, donor requirements, and Ugandan regulations, while supporting program teams to achieve effective and accountable project implementation.
Duties, Roles and Responsibilities
Financial Management and Reporting
Manage day-to-day financial transactions, including payments, receipts, and reconciliations.
Maintain accurate and up-to-date accounting records using SWRW’s approved accounting system.
Prepare monthly, quarterly, and annual financial reports for management, donors, and partners.
Prepare donor-specific financial statements in line with contractual terms and reporting templates.
Support the preparation of organizational and project budgets in collaboration with program teams.
Monitor budget utilization, prepare financial forecasts, and conduct variance analysis.
Alert management to any significant financial risks or deviations from approved budgets.
Compliance, Controls, and Audit Support
Ensure compliance with SWRW internal financial policies, donor agreements, and Ugandan financial regulations.
Implement and enforce strong financial controls to safeguard organizational assets.
Assist in the preparation of audited financial statements and coordinate with external auditors during audits.
Maintain and regularly update the fixed asset register.
Payroll and Statutory Obligations
Process monthly payroll, ensuring timely and accurate salary payments.
Remit statutory deductions including PAYE and NSSF to relevant authorities.
Maintain accurate and confidential payroll records.
Procurement and Administration Support
Review and verify invoices, quotations, and payment requests for accuracy, completeness, and compliance.
Ensure that all procurements and payments comply with SWRW’s financial and procurement policies.
Provide financial guidance to the administration and procurement teams during procurement processes.
Cash and Bank Management
Manage cash flow to ensure timely availability of funds for project activities.
Monitor bank balances, prepare bank reconciliations, and promptly resolve discrepancies.
Manage petty cash and ensure regular reconciliation and accountability.
Project Support and Capacity Building
Work closely with Project Managers to ensure accurate and compliant financial management of projects.
Provide technical support and training to non-finance staff on financial procedures and compliance requirements.
