Job Description
Position: Assistant Human Resources Officer
Location: Uganda

Position Summary
The Assistant Human Resources Officer will support the day-to-day administration of HR and general administrative functions. The role involves handling key aspects of HR operations including leave tracking, recruitment support, personnel file management, HR information systems, immigration processes, and other HR-related tasks.
Duties, Roles and Responsibilities
Leave Management
Enter and maintain leave records in the Time and Attendance system.
Verify accuracy and completeness of leave forms and ensure proper authorization.
Ensure staff compliance in submitting leave records.
Regularly update the administrative staff leave plan.
Generate and submit monthly leave reports.
Recruitment Support
Receive and organize job applications (hard and soft copies).
Support the coordination of recruitment processes including candidate communication, interview logistics, and documentation.
Maintain organized and labeled recruitment records.
Personnel File Management
Regularly update and maintain personnel files (physical and digital) with all required documentation.
Ensure files are accurately labeled and alphabetically organized.
Archive closed personnel files with complete documentation.
HRIS (PeopleSoft)
Update Time and Attendance records promptly and accurately.
Immigration Administration
Gather required documentation for international staff and their dependents for work permits, special passes, and student passes.
Process renewals of expired work permits upon HR Manager approval.
Initiate and follow up on security bond refunds.
General HR & Administrative Support
Respond to employee inquiries on HR matters.
Support the smooth operation of daily HR functions.
Ensure timely processing and payment of utility bills.
Maintain accurate records of staff housing.
Qualifications, Education and Competencies
Bachelor’s degree in Human Resource Management, Business Administration, or related field.
Minimum of 5 years of professional experience in a similar HR role.
Proven knowledge and experience in HR operations including payroll, recruitment, and employee development.
Key Skills
Strong understanding of Ugandan labor laws and disciplinary procedures.
Proficient in MS Office; familiarity with HRMS (e.g., PeopleSoft) is an advantage.
Excellent organizational and time management skills.
Strong communication, interpersonal, and teamwork abilities.
Ability to build effective working relationships across all levels of staff.
