Job Description
Job Title: Assistant Administrator
Organization: Armstrong Consulting Engineers Limited

Reports to: Head of HR and Administration
Employment Type: Full-time
Purpose of the Role
The Assistant Administrator is responsible for providing essential administrative and clerical support to ensure the efficient day-to-day operations of the organization. This role supports the administrative team in managing correspondence, maintaining records, organizing logistics, and ensuring adherence to internal policies and procedures.
Duties, Roles and Responsibilities
Provide general administrative support including typing, filing, photocopying, and scanning.
Handle incoming and outgoing communications (calls, emails, letters) professionally and promptly.
Organize and coordinate meetings; take minutes and prepare required documentation.
Assist with maintaining staff attendance records and managing leave schedules.
Monitor and manage office inventory and procurement requests.
Support the preparation of reports, presentations, and spreadsheets.
Maintain an up-to-date filing system, both physical and electronic.
Coordinate travel and accommodation arrangements for staff as needed.
Act as a liaison between departments and external contacts.
Support the cleanliness, organization, and functionality of the Team Leader’s office.
Ensure the confidentiality and security of sensitive information.
Perform any additional duties as assigned by the Administrator or Management.
Qualifications, Education and Competencies
Diploma or Bachelor’s degree in Business Administration, Office Management, Public Administration, or a related field.
Age: 25–30 years.
1–2 years of relevant administrative experience.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Strong verbal and written communication skills.
Excellent organizational and multitasking skills.
Ability to work independently and as part of a team.
Demonstrated discretion, responsibility, and professionalism.

Highly organized and detail-oriented.
Proactive, adaptable, and eager to learn.
Friendly and approachable with a professional demeanor.
Strong integrity and commitment to confidentiality.
