Office Management

  • Organize and Maintain Files: Develop and maintain an efficient filing system, including electronic and paper records, ensuring easy retrieval of information.

Schedule Management

  • Calendar Coordination: Maintain and manage schedules for executives or teams, including arranging meetings, appointments, and travel plans.

Communication Handling

  • Correspondence Management: Draft, review, and manage correspondence, including emails, letters, and reports.

Document Preparation

  • Report Preparation: Prepare and format reports, presentations, and other documents as required.

  • Data Entry: Enter and update information into databases, spreadsheets, and other record-keeping systems.


Travel and Event Arrangements

  • Travel Coordination: Arrange travel itineraries, including booking flights, accommodations, and transportation for executives or staff.

  • Event Planning: Assist in organizing and coordinating events, conferences, and workshops, including logistics and coordination.

  • A Bachelors Degree (Hons) in either Social Sciences or Public Administration or Business Administration or Office and Information Management or Development Studies or Administrative & Secretarial Science from a reputable University.


Experience and Competences

  • Should have a minimum of three (3) years relevant working experience which should have been served at the level of Assistant Administrative Secretary/Officer, Administrative Assistant or Personal Secretary in Government or reputable private organization.

  • Working knowledge of office management systems, procedures and equipment.

  • Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint and MS Outlook)

  • Must posses good report writing skills

  • Maintaining an organized and efficient office environment

  • The ability to effectively plan and facilitate virtual meetings, including the use of technology and tools.

  • Efficiently managing your time

  • Being a good team player and collaborating with others

  • Manage different schedules, calendars, travel arrangements, and daily demands for the supervisor

  • Effectively communicating with colleagues, both in person and through various communication channels

  • Present yourself in a professional manner and build a personal brand that reflects your values, skills, and expertise.
