Job Description
To provide support to the Administration and Human Resource department in operational tasks and act as a key point of contact for employees.
Key attributes of the role
The Administrative Assistant shall display excellent organizational skills, good time-management skills, and the ability to multi-task in a fast-paced environment.
Duties, Roles and Responsibilities
Recruitment process:
- The Administrative Assistant shall provide support to the recruitment process by posting Job adverts, screening resumes, schedule and coordinate the interview process, and conducting background checks on suitable candidates and support onboarding of new candidates
Employee personal records:
- The Administrative Assistant shall gather and maintain all employee personal records both in hard & soft copies and ensure the records are up to date, these records are but not limited to the following:- bio-data, medical records, Practicing License, contracts, and other correspondences with management
Employee performance Management:
- The Administrative Assistant shall coordinate the process of staff performance reviews, provide clear feedback on their performance outcomes and support areas for improvement, and motivate employees to reach their potential in alignment with hospital objectives
Drafting of legal documents:
- The Administrative Assistant shall provide support to draft and make sure that all employees, consultants, specialists and volunteers have valid contracts, and supports them in understanding the details therein.
Employee leave management:
- The Administrative Assistant shall record, track and maintain a leave database for every staff of the hospital. This includes; – annual leave, sick leave, maternity leave, compassionate leave, Miscarriage Leave, Paternity Leave, Casual Leave, Study Leave and / or Leave without Pay, time taken off or any other leave as enshrined in the hospital governing policies
Exit and separation processes
- Handle exit administration, and ensure that staff exiting have handed over all required assets. It is important to ensure a harmonious separation of exiting staff from the hospital. Communicate to staff regarding existing staff.
Working environment
- The Administrative Assistant shall maintain effective communication for employees to work for a single objective; success of the hospital and maintain a Christian culture of hard work, customer care and one that glorifies God.
Employee welfare
- Support the overall well-being and work-life balance of employees. The HR officer shall be involved in planning and implementing programs and policies that prioritize employee well-being, mental health, and work-life balance. This includes but not limited to initiatives like flexible work arrangements, wellness programs and employee assistance programs
