Administration & Finance Officer (AFO) Job at Nitida

Job Description
The Administration & Finance Officer will ensure the coordination of financial, accounting and human resources management in Uganda. He/she will work under the hierarchical supervision of the Country Representative, as well as the Financial Controller and the Chief Financial Officer based at the headquarters in Lyon, France.
Duties, Roles and Responsibilities
Your mission will encompass different aspects
Finance & Accounting
- Provide the Country Representative, the Financial Controller and the Project Managers with the necessary operational service support on the finance and accounting aspects
- Oversee the financial, accounting, administrative, human resources and logistics management so that everything follows the internal rules of Nitida, donors, and other stakeholders
- Manage bank transactions and enters them in bank journals
- Carry out the accounting control of bank and cash journals, establishes bank and cash reconciliations at the end of the month
- Ensure the correct allocation of expenses (accounting codes, analytical codes, budget lines) in collaboration with the Project Managers
- In collaboration with the financial partnerships officer, ensure compliance with the administrative, financial and accounting procedures of donors with our partners
- Participate to the budget drafting and resource definitions for new projects
- Communicate regularly to the Project Managers the budget consumption status and defines the alerts / monitoring points.
- Verify accounting supporting documents (payment proofs, receipts,…) and guide the project and field logistics teams for compliance
Human Resources & Payroll
- Implement social, HR and remuneration policies in compliance with the country’s legal framework
- Update the payroll with new personnel data and updates the leave tracking
- Ensure the payment of salaries, as well as the payment of tax, employer and social security declarations (monthly)
Procurement & Logistics Compliance
- Ensure compliance with procedures defined for goods and services acquisition (need expression, quotations, purchase order, delivery, invoice and proof of payment and calls for tenders according to the purchase thresholds defined internally)
Partner Management
- In collaboration with the Partnerships Officer/Manager, ensure partners’ compliance with donor administrative, financial and accounting procedures.
- Supervise and support the Partnerships Officer/Manager in the follow-up of partners’ financial reporting and compliance requirements.
- Review partners’ expenditure lists, ensure supporting documents are properly filed (including scanned invoices on the shared drive), and transmit complete financial packages to HQ as required.
- Supervise and/or coordinate partners’ capacity building on financial, accounting, HR and administrative procedures (training, coaching and corrective actions).
External Relations & Compliance
- Participate in financial audits and ensure audit recommendations (accounting and financial) are implemented and tracked to closure.
- Maintain regulatory watch on national tax, labor and social security regulations, and proactively advise the Country Representative on compliance implications.
- Act as a focal point with key external stakeholders on administrative, financial and HR matters (tax authorities, labor offices, social security bodies, ministries, legal counsel, banks and service providers), in coordination with the Country Representative.
Bonus (depending on the profile and operational needs) – Local IT support
- Serve as the first point of contact for day-to-day IT support needs and help colleagues adopt best practices.
- Support basic onboarding and tool setup (accounts, MFA, Teams/Outlook), and liaise with the HQ IT team when
- Provide first-level troubleshooting, properly document/qualify incidents, and follow up with the HQ IT team until resolution.
- Contribute to maintaining a basic inventory of IT equipment in coordination with logistics.
**This additional responsibility is not systematic and will be assigned depending on the selected profile’s motivation and aptitude for IT support.**
Conditions
- Status: 1-year fixed-term contract renewable
- Position based in Kampala, Uganda
- Desired start: as soon as possible
- Base salary to be negotiated according to profile and experience
