Job Description
Job Title: Warehouse Officer (Fresher Jobs)
Organisation: SICPA
Duty Station: Kampala, Uganda
To carry out Warehouse Operations, in particular stock management, receiving and inspecting incoming shipments, organization of domestic transport and reverse logistics.
This job has a transverse component and implies an understanding and experience of the complete supply chain, from registration of orders to final dispatch.
Duties, Roles and Responsibilities
Stock Management and Dispatch
Manage stock movements: receptions, transfers, good issues and physical inventories both physical and Information Systems (ERP or equivalent and tracking systems).
Ensure real time correspondence between physical and Information Systems.
Assist in monitoring stock levels and report any shortages or discrepancies to the Warehouse Supervisor.
Participate in periodic stock audits to maintain inventory accuracy.
Organize the preparation of shipments and dispatch to different sites within the country in accordance with instructions. (For this ensure contacts with local transports)
Dispatch of equipment, with management of status and escalation in the event of a problem.
Management of orders for office consumables from the clients request to the dispatch of products, including organization of transport.
Ensure that all documents concerning dispatches are generated (supported by the Logistics Coordinator)
Invoices and/or Proforma.
Prepare Packing lists.
Hazardous materials transport documents.
Other local transport documents.
General Procurement Activities
Ensure the timely and complete fulfillment of the company’s needs by sourcing from SICPA Uganda local suppliers, including raising PRs and issuing POs to the selected vendors once the PRs are approved by SICPA management.
Receive incoming shipments and verify their contents against purchase orders or delivery notes.
Inspect and check the quality of received goods to ensure they meet the required standards.
Retrieve customer orders based on picking lists or instructions.
Ensure accuracy and completeness of picked items by carefully matching them to order details.
Warehouse Operations and Safety
Ensure that all policies, including those concerning Health, Safety and Environmental protection, are respected, and implement or propose improvements to such practices.
Maintain a clean and organized warehouse environment by performing regular cleaning and tidying tasks.
Properly label and organize received items and packages in designated storage areas.
Assist with organizing and optimizing warehouse layout to maximize space utilization.
Documentation and Record Keeping
Maintain accurate records of all incoming and outgoing shipments, including relevant documentation such as delivery notes, packing slips, and invoices.
Ensure proper documentation is completed for returned or damaged goods.
Status Reporting
Compliance with SICPA internal rules and policies as well as with local regulations concerning security, safety, transport or any other regulations related to the function.
Provide regular, detailed status reports on all activities in inventory management, consumption/utilization trends and other warehouse activities as required.
Collaborate with team members
Communicate effectively with colleagues and supervisors to coordinate tasks.
Collaborate with other warehouse staff to ensure efficient operations.
Assist in cross-training team members on various warehouse functions.
Qualifications, Education and Competencies
At least 3-5 years’ experience in a Supply Chain post in the logistics field, with extensive knowledge of stock management and dispatch processes combined with intensive use of an ERP system.
A Degree in Supply Chain Management or a relevant field, or equivalent combination of education, training, and/or experience.
Demonstrated experience of operational activities in logistics and if possible purchasing, order management or distribution.
Across-the-board vision and understanding of logistics activities.
Technical or engineering background highly recommended.
Proven experience in an international and multidisciplinary environment.
Ability to remain focused in an organization subject to external interventions.
Ability to work in a start-up environment and then progress to a more mature organization.
Very familiar with the Microsoft Office suite.
Fluent in English.
