Job Description
Job Title: Supply Chain Intern- Procurement (No Experience NGO Jobs)
Organisation: Danish Refugee Council (DRC)
Duty Station: Kampala, Uganda
The Supply Chain intern -procurement role is accountable and responsible for supporting various stages of the procurement cycle for various requests with the aim of ensuring that items are delivered to the program operational areas promptly and of the right quality. Performance of tasks shall be in a manner that promotes value for money in accordance with DRC’s internal and donor procedures, as per the Operations Handbook and Quality Standards.
Duties, Roles and Responsibilities
Your main duties and responsibilities will be:
Procurement management
Support procurement processes in a manner that’s compliant with the procurement manual.
Receive and check for clarity and approval of purchase requests from various program teams.
Support the timely processing of purchase requisitions.
Ascertain specifications and seek clarification from program teams where need arises.
Support tendering processes by issuing our Request for Quotations (RFQ) documents and any other clarifications to bidders.
Support the preparation of bid analysis and present these for review and approval by relevant parties.
Ensure a proper filing system for all procurements supported as guided in the e-filing protocol.
Review and provide status updates on various procurements at various stages.
Attend to vendor complaints and provide feedback on various matters, e.g., supplier payments.
Provide feedback to various vendors on their performance regarding order fulfillment.
Regular follow-up with suppliers for order expedition and proactive order tracking.
Archiving and reporting
Maintain a sound archiving system on the DRC SharePoint platform for all supply chain-related documentation for any reference purposes.
Prepare and submit weekly and monthly activity reports to the line manager.
Perform any other duties as may be assigned by the line manager from time to time.
Qualifications, Education and Competencies
About you
To be successful in this role, we expect you to have demonstrated understanding and working knowledge or experience of procurement principles, concepts & processes. Moreover, we also expect the following:
Required
A bachelor’s degree in procurement and logistics management, supply chain management, or business administration with a major in procurement, logistics, or supply chain management.
Minimum of 1 year working experience in a busy INGO environment with some understanding of donor financial requirements, conditions, and government budgets and tax policies.
A team player with good interpersonal and communication skills.
Ability to work with minimal supervision.
Computer literacy is a MUST.
Experience working with Enterprise Resource Planning (ERP) systems will be an added advantage.
Cultural sensitivity and ability to work in a cross-cultural environment.
Full professional proficiency in English.
Excellent document management and archiving.
Dynamic and able to learn and adapt.
