Job Position: Secretary

Salary Scale: GS7/I - UNAFRI Salary Scale
Duration: Initial 1-year contract, with the possibility of extension based on performance and availability of funds
Age: Applicants must be under 45 years of age
Nationality: Open to Ugandan Nationals only

How to Apply
Responsibilities
The Secretary will work under the direction and authority of the Director-General and will be responsible for:
Proficiency in written and spoken English.
Collaborating with the Senior Bilingual Secretary in translating documents between French and English.
Taking dictation, transcribing, and presenting accurate and error-free reports.
Managing records and databases through scanning and filing systems.
Requisitioning and managing office stationery and equipment for the Directors' Offices.
Acting as a Personal Assistant to the Directors of the Institute.
Drafting official letters, compiling and preparing reports, presentations, correspondences, documents, manuscripts, and meeting minutes.
Organizing and monitoring appointments and schedules for the Directors, and reminding them of key tasks and deadlines.
Coordinating and organizing meetings, events, workshops, and conferences, including preparing agendas and taking minutes.
Planning and organizing travel for the Directors, including domestic and international travel, visa applications, and accommodations.
Dispatching documents via courier services.
Receiving incoming mail and telephone calls, managing outgoing mail, responding to inquiries, passing on messages, or highlighting important matters for the Director-General’s attention.
Ensuring the security of office records and documents.
Reminding the Directors of critical tasks and deadlines.
Managing office protocol and media-related matters.
Serving as a key point of contact between the Directors and internal/external stakeholders.
Supervising and guiding best secretarial practices in the office.
Ensuring the cleanliness and orderliness of the Directors’ offices.
Performing any other duties assigned by the Directors
A Bachelor’s degree in Secretarial Studies or Information and Office Management from a recognized university. A diploma in Public Administration or Management is an added advantage.
Proficiency in English (both written and spoken).
At least four (4) years of experience in a reputable organization.
Excellent interpersonal and communication skills.
Proficiency in the use of computers, the internet, and MS Office programs.
Familiarity with office management systems and procedures.
Strong organizational skills and excellent typing ability.
