Job Description
The Retail Operations Manager (ROM) is responsible for the overall performance, supervision, efficiency, and profitability of retail operations across all service stations. The role focuses on driving operational excellence, ensuring compliance with company policies and regulatory requirements, improving customer experience, and delivering sales and cost targets through effective people and process management.
The ROM is responsible for supervising and coordinating Territory Managers to ensure effective, compliant, and profitable operations across all service stations.
The ROM is Responsible and accountable for the achievement of set volume objective in all areas of station operations (Sales, prospection & development of new sites- CODOs, COCOs & DODO’s).
Duties, Roles and Responsibilities
- HSEQ/Safety: Comply with safety Golden Rules/use of Stop Card and coordinate HSE committee meeting. Ensure that the HACCP policy is applied (resources, referent in team, definition of KPI).
- Ensure a risk assessment report is done for all zones using the security grid at least once a year.
- Guarantees business continuity by solving problems with cross functional affiliate departments.
- Immediately inform the Head Office about situations at risk (both Safety and Finance).
- Report all accidents, near misses to Head Office and forward all necessary documents claims for Insurance.
- Management: Responsible for his/her profit centre with support of operational and functional units.
- Elaborate a monthly activity report for Management.
- Collect and prepare all reports for the Next Day Delivery.
- Permanently liaise with Sales Administration to ensure proper monitoring of Stations’ accounts.
- Coordinate monthly sales meetings & monthly credit meetings to ensure objectives are met, accounts at risk are highlighted and performance is appraised.
- Conduct, set goals, animate, measure, control, coach, evaluate and sanction, if necessary, a team of COCO TM.
- Animate the field team activities: Weekly programs, Activity reports, Incentive scheme, training & assistance needs…
- 1 Ensure an effective presence in the field and do on the spot assessment.
- Organize optimized supply of all products to the region (White Products / Lubricants / LPG) in order to achieve sales objectives (sales, margin and gross operating income) and minimum credit days, In Charge of the wet stock management of the area.
- Ensure that all qualitative and quantitative targets are achieved (HSE, Customer satisfaction, Sales volumes, Shop Food & Service (SFS), Margins, Credit days, Financial controls, Procedures & Norms …).
- Notify the company’s Legal Department & follow-up all legal matters in the region.
- Cards: Responsible for the management and expansion of Card and mobile payment solutions with the HO team, ensures 100% daily polling and the training of station staff.
- Convenience (SFS): Ensure the full implementation of the Marketing policy, Procedures, Tools and Norms.
- Ensure full implementation of the SFS activities in coordination with the H/O and the Merchandizer in charge of the region.
- Implement all necessary means to ensure our customers are satisfied in the stations (good product at the right price and the right quantity), in line with the Top service policy.
- Validate and supervise standards controls conducts in stations.
- HR: Defines, validates and communicates the recruitment policy for station staff, planning, overtime, seasonal recruitment, temporary work and ensures a mobility policy between stations.
- Proposes, implements and monitors the training yearly plan, in coordination with HR department.
- Development: Proposes and validates the development operations (investment, modernization, adaptation, closing of non-profitable sites) Coordinate the prospection for new sites for construction, lease, affiliation & prepare proper documentation, in coordination with legal department (real estate, permits).
- Keep close contact with partners to facilitate the project.
- Evaluates and proposes new nonfuel businesses (Food, service bay, other new business, co-brand
- Profitability: Ensures that a forecasted P&L for all stations is implemented and make sure P&L is revised when strategic change occur.
- Monitors the profitability of the stations (with the data provided by data analyst/optimizer) and closely supervises the pricing policy of his/her area and make sure each of them is fully optimized.
- He/she proposes actions plan to improve profitability (expenses, increasing Cash Flow, investments, change of site manager) to ensures optimization and preserving a financial balance.
- He/she validates the gaps, and the controls shop losses from inventories, related to his level of delegation.
- He/she follows monthly the results of his area, according to the budget and the NCA results.
- 2 He/she organizes monthly Business Reviews and per Territory Manager to ensure the effectiveness and success of action plans.
Additional Requirements
- Working conditions Extensive field work and frequent travel across territories May require availability outside normal working hours Very competitive environment: The retail market has changed significantly during the past years with the introduction of new players. Very high exposure of the stations, with impact on brand awareness. Most of time regulated markets or semi-regulated market, whereby law it is forbidden to interfere in the station management. Market sensitive to environment matters. 3 Key Interfaces: Non-Fuels (SFS), Technical Services, HSEQ, Legal, Sales Admin, Dispatch, etc. SFS revenues become one of the major levers for improving the network result. Very frequent field trips to ensure rigorous control of the application of SFS concepts and supplier contracts. Management and supervision of important staff (social climate, safety, night work…).
