Job Description
The Receptionist will attend to visitors and manage incoming calls and inquiries, ensuring each interaction is professional and welcoming. This role involves providing front desk support, managing administrative tasks, and ensuring efficient office operations. The ideal candidate will maintain a positive image of the company and contribute to delivering exceptional customer service through excellent communication and organizational skills.
Duties, Roles and Responsibilities
Serve as the first point of contact for all visitors and callers.
Manage switchboard operations: answer, screen, and direct phone calls.
Ensure professional communication with clients and visitors.
Respond to customer queries efficiently within agreed timelines.
Maintain a tidy and presentable reception area.
Manage meeting room bookings and visitor logs.
Deliver efficient administrative support through timely planning, reporting, and information updates.
Adhere to legislative and audit governance requirements.
Assist with various clerical tasks such as filing, photocopying, and data entry.
Continuously develop own skills to enhance job performance.
Qualifications, Education and Competencies
Matric Certificate (essential); additional certification in Office Management is advantageous.
2–3 years of proven experience as a Receptionist or Front Office Representative.
Proficiency in Microsoft Office Suite.
Professional demeanor with solid written and verbal communication skills.
Ability to remain calm and resourceful when handling issues.
Strong organizational, multitasking, and time management skills.
Excellent customer service and interpersonal abilities.
Positive, proactive, and team-oriented attitude.
