Job Description
The Administrator: Learner Records will assist in the provision and management of examination services and learner records. Responsibilities include supporting the registration of exam venues, managing learner data and records, assisting in the deployment of invigilators and assessors, capturing data in relevant systems, coordinating printing and dispatching of certificates, addressing learner and client queries, managing examination material, and providing operational and administrative support to ensure service quality and compliance.
Duties, Roles and Responsibilities
Support the approval and registration of exam sites according to moderation standards
Update examination schedules and Training Management System (TMS) records
Administer recruitment and deployment processes for invigilators, assessors, and moderators
Maintain learner records and databases for assessments
Capture learner results and ensure accuracy in ETQA and NSG systems
Prepare, print, and dispatch NSG certificates and statements of results
Address learner and client queries and complaints, providing accurate and timely feedback
Coordinate venue arrangements and manage the reproduction of learning materials
Handle procurement processes, petty cash, and payment to service providers
Manage travel and accommodation logistics
Compile monthly and compliance reports
Support the implementation of service standards, SOPs, BPM, and digital processes
Maintain accurate records and registers for all learning activities
Qualifications, Education and Competencies
Minimum Qualifications:
NQF level 6 qualification in Office Administration
Experience:
1 to 2 years’ relevant experience in office administration in an ETD environment
Competencies:
Proficiency in training management systems
Strong administrative, organizational, and analytical skills
Excellent written and verbal communication
Ability to manage data accurately and maintain proper documentation
Customer service orientation and problem-solving abilities
Ability to handle multiple tasks under pressure
