Job Description
The Operations Administrator will work under the Operational Leads at DTHF HQ and across various sites to provide effective administrative support, manage logistics such as fleet and facilities, handle communication with service providers, and maintain updated records. Responsibilities include drafting reports, scheduling vehicle maintenance, updating SLA records, coordinating office supplies, supervising equipment care, and ensuring compliance with organizational policies. This is a one-year fixed-term contract role.
Duties, Roles and Responsibilities
Provide administrative support including filing, emailing, photocopying, and document drafting
Manage vehicle assignments and schedule maintenance for optimal fleet usage
Support Facilities Operational Lead in updating records for assets, fleet, and service contracts
Act as first contact point for service providers and staff
Prepare, review, and amend procedures and operational documentation
Maintain service, maintenance, destruction, and asset inventory records
Monitor and order office supplies
Supervise cleaning and equipment maintenance, and arrange for external services as required
Plan, coordinate, and execute facilities-related tasks and assist in special event planning
Assist during emergency and disaster recovery operations
Participate in team meetings and assist in information sharing
Qualifications, Education and Competencies
Minimum Qualifications and Experience:
National Diploma in Administration
Minimum 2 years’ administrative experience
Experience in a health research environment (advantageous)
Valid Code 08 Driver’s License
Skills and Competencies:
Proficient in MS Office and Office 365
Strong communication and interpersonal skills
Highly organized, detail-oriented, and proactive
Ability to work under pressure and adapt to changing conditions
Strong time management and ability to multitask
Capable of working independently and in a team setting
