Job Description
To deliver a seamless front-office experience while providing efficient administrative and office coordination support, ensuring high standards of professionalism, service delivery, compliance, and operational effectiveness across the workplace.
Duties, Roles and Responsibilities
Front Office & Client Experience
- Serve as the first point of contact for all clients and visitors, ensuring a professional and welcoming experience
- Manage reception desk operations with consistent availability and responsiveness
- Monitor visitor flow and ensure minimal waiting times
- Capture and track visitor feedback to continuously improve service delivery
Administrative Support
- Provide timely and accurate administrative support to internal teams
- Manage administrative requests and ensure adherence to agreed turnaround times
- Maintain high levels of accuracy in document handling and processing
Communication & Coordination
- Coordinate meetings, including scheduling, room bookings, and logistics
- Ensure efficient communication flow across teams and functions
- Support internal engagements and coordination activities
Office Operations & Facilities Coordination
- Manage office supplies and ensure continuous availability of essential items
- Coordinate courier services and general office logistics
- Maintain records of office activities, including incoming and outgoing mail
Records & Information Management
- Maintain accurate and up-to-date filing systems (physical and digital)
- Ensure timely retrieval of documents when required
- Support adherence to records management standards
Compliance & Risk Management
- Ensure full compliance with internal policies, confidentiality, and data privacy requirements
- Support audit processes and maintain accurate records
- Uphold strict confidentiality in handling employee, client, and organizational information.
