Overview:

The Finance Assistant will play a crucial role in supporting the Arua team to achieve its finance objectives. Under the guidance of the Finance Manager, the Finance Assistant will be responsible for maintaining the cash books and managing the accounts payable functions for the department.

Key Responsibilities:

  • Prepare cash transaction vouchers in a timely and accurate manner.

  • Manage the mobile money account, ensuring payments are processed promptly.

  • Prepare invoice journals in Integra, ensuring accuracy and completeness.

  • Reconcile mobile money and cash accounts regularly.

  • Assist the Finance Manager in reviewing travel and program advances.

  • Prepare payment journals as a PBR user.

  • Support the Finance Manager in compiling financial projections for the field office.

  • Ensure all cash transactions comply with IRC policies and procedures.

  • Maintain control and oversee the use of office stationery.

  • Collaborate with the Administration team to make hotel bookings for visitors to the field.

  • Manage vendor payments and ensure timely processing.

  • Develop and maintain an efficient filing system for financial records at the field office.

  • Perform other duties as assigned by the Finance Manager.

Qualifications, Education and Competencies

Qualifications:

  • A degree or equivalent experience in Accounting, Business Administration, Finance, or Commerce, or a diploma with at least 5 years of relevant experience.

  • A minimum of 1 year of experience working in finance.

  • Previous experience with NGOs is preferred but not required.

  • Ability to work under pressure and handle multiple tasks and priorities effectively.

  • Strong attention to detail with the ability to communicate clearly.

  • Excellent organizational skills and a keen eye for detail.

  • Proficient in Microsoft Office applications (Word, Excel).

  • Comfortable working in a flexible and dynamic work environment with the ability to prioritize tasks.

  • Strong written and verbal communication skills in English, particularly in interactions with program staff.

  • Good supervisory, time management, and interpersonal skills.
