As part of our continued growth, we are looking for a highly motivated and experienced individual to join our team in the following role:
Job Title: Facilities Officer
Job Purpose
The Facilities Officer is responsible for the efficient daily management of the Bank’s infrastructure, office premises, and equipment. The role ensures proper maintenance, functionality, safety, and compliance with health and safety standards to support smooth bank operations in line with the business strategy.
Duties, Roles and Responsibilities
1. Facilities Management
Oversee the general upkeep and functionality of all bank premises and facilities.
Ensure utilities (electricity, water, HVAC) are fully operational and address facility-related issues promptly.
Coordinate office space planning and allocation to meet current and future business needs.
Ensure all premises meet the Bank’s minimum operating and safety requirements.
Oversee service providers and contractors (e.g., cleaners, maintenance crews) to ensure high standards of service.
Ensure all fire detection and safety systems are fully operational and tested periodically.
Conduct regular inspections and risk assessments in line with Occupational Health & Safety (OHS) guidelines.
Supervise preventive maintenance and repairs for all Bank facilities and equipment.
2. Asset Management
Coordinate asset verification exercises and report on areas needing improvement.
Track and document the movement and redeployment of Bank assets.
Ensure all assets are properly recorded and located as per deployment plans.
3. Budgeting and Reporting
Prepare and manage the facilities budget, ensuring cost-effective operations.
Provide regular reports on facilities status, risks, and opportunities for improvement.
Recommend cost-saving initiatives and operational enhancements.
4. Compliance & Risk Management
Ensure compliance with internal policies, banking regulations, and health & safety standards.
Report any compliance or safety risks to the Manager – Administration.
Ensure that all health and safety protocols are implemented and adhered to.
Qualifications, Education and Competencies
Educational Qualifications
Bachelor’s degree in Business Administration or a related field.
Professional certification in facilities management is an added advantage.
Experience and Skills
Minimum of 2 years of experience in Facilities Management in a reputable organization.
Strong knowledge of facilities operations and office safety standards.
Excellent communication, organizational, and interpersonal skills.
Ability to manage multiple tasks, prioritize effectively, and work independently.
Proficiency in Microsoft Office and relevant facilities management software.
Key Competencies
Knowledge of OHS regulations and standards.
First aid and emergency response skills.
Strong reporting and documentation abilities.
Attention to detail and high levels of accuracy.
Demonstrated integrity, reliability, and proactive attitude.
Strong teamwork and coordination abilities.
