Job Description
The successful candidate will be responsible for ensuring the smooth running of the Deputy Head’s office by coordinating meetings, business trips, and filing systems. This includes compiling agendas and minutes, managing emails, and distributing documents. The role also requires a willingness to work after hours and over weekends when necessary, maintaining professionalism, confidentiality, and strong organizational support for executive operations.
Duties, Roles and Responsibilities
Provide full secretarial support, including scheduling meetings and organizing business travel for the Deputy Head.
Compile meeting agendas and minutes, ensuring timely distribution to relevant officials.
Maintain an effective filing system (physical and electronic) for the Deputy Head: Programmes and Projects.
Organize and file electronic communication for quick and efficient access.
Support the overall operations of the office to enhance productivity and organizational efficiency.
Qualifications, Education and Competencies
Essential Requirements:
Grade 12 (NQF Level 4) or equivalent.
Certificate in Administration.
Minimum of 2 years of relevant secretarial experience.
Computer literacy.
Preferred Requirements:
Diploma (NQF Level 6) in Secretarial Studies.
3 years of relevant experience.
Competencies:
Excellent oral and written communication skills.
Strong attention to detail.
Interpersonal relationship skills.
Client orientation and customer service.
Use of technology and data processing.
Ethics, professionalism, and resilience.
Teamwork and organizational awareness.
