Position Summary
SNV Uganda is seeking a proactive, highly organized, and dependable Executive Administration Officer to support the Country Director and Country Management Team (CMT). The ideal candidate is detail-oriented, adaptable, and capable of managing a broad range of administrative, coordination, and compliance responsibilities in a dynamic environment.
This role plays a key part in ensuring smooth internal operations and strategic support across administrative, project management, communications, and compliance functions.
Duties, Roles and Responsibilities
1. Executive & Administrative Support
Provide direct administrative assistance to the Country Director and CMT.
Prepare high-quality meeting minutes and ensure timely follow-up on action points.
Track and report relevant HR, Finance, and Operations data for informed decision-making.
Support documentation and logistics related to country registration processes.
2. Project Coordination & Reporting
Coordinate project review meetings and donor reporting schedules.
Support the preparation of mid-year and annual reports.
Monitor project implementation timelines and reporting milestones.
3. Event & Meeting Management
Organize internal and external meetings, workshops, and events.
Coordinate appointments for the Country Director and liaise with the logistics team.
Ensure timely distribution of meeting agendas and accurate recording of outcomes.
4. Communications & Office Operations
Support internal and external communications, in collaboration with the Communications team.
Draft content for external platforms and manage general inquiries and correspondence.
Maintain professional and efficient front-office communication.
5. Contract & Compliance Monitoring
Track donor requirements and ensure project teams comply with contractual obligations.
Manage project documentation and upload records to SharePoint at all project stages.
Facilitate contract amendment processes as needed.
6. Filing & Document Management
Maintain orderly and accessible filing systems (both physical and digital).
Ensure compliance with SNV’s document archiving procedures.
Qualifications, Education and Competencies
Bachelor’s degree in Business Administration, Public Relations, Communications, Management, or a related field.
Minimum of 8 years of relevant professional experience, with the ability to work independently.
Strong organizational and administrative skills with excellent attention to detail.
Fluent in English with excellent written and verbal communication.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Demonstrated ability to work with cross-cultural teams and manage multiple priorities.
