Job Summary

Pearl Marina Estates Limited is seeking a proactive and hands-on Estate Manager to oversee daily estate operations, maintenance, and occupancy management. The successful candidate will ensure the estate remains clean, secure, and well-maintained while driving maximum occupancy through effective marketing and tenant relations. This role is ideal for a detail-oriented, results-driven professional with experience in estate management, facilities maintenance, and real estate marketing.

Duties, Roles and Responsibilities

A. Estate Maintenance & Operations

  • Conduct daily inspections to maintain cleanliness, orderliness, and aesthetic appeal of the estate.

  • Supervise landscaping, cleaning, plumbing, and electrical maintenance activities.

  • Enforce strict security measures, including CCTV monitoring, access control, and guard patrols.

  • Develop and manage estate budgets, monitoring expenditures to stay within approved limits.

  • Maintain petty cash accounts with regular reconciliation and reporting.

  • Coordinate major repairs and renovations with external contractors.

  • Oversee proper functioning of water, drainage, and sewage systems.

B. Occupancy & Tenant Management

  • Actively market the estate to attract short-term and long-term tenants.

  • Manage tenant screening, onboarding, and lease agreement facilitation.

  • Ensure tenant satisfaction by addressing issues, complaints, and maintenance requests promptly.

  • Conduct exit inspections to enforce lease compliance.

  • Organize tenant engagement activities to foster community spirit.

  • Enforce estate rules, documenting breaches and conflict resolutions.

C. Security & Emergency Response

  • Implement and maintain 24/7 estate security operations.

  • Be available on-call for emergencies including fire, water leaks, security breaches, and structural issues.

  • Train estate staff and residents on emergency and safety protocols.

D. Reporting & Communication

  • Prepare and submit weekly and monthly reports covering maintenance, occupancy, security, and financial performance.

  • Maintain transparent communication with homeowners and stakeholders regarding estate operations.

  • Provide recommendations to enhance estate services and tenant retention.

Qualifications, Education and Competencies

  • Proven experience in estate management, property maintenance, or facilities operations (2-5 years preferred).

  • Strong skills in operations management, budgeting, and maintenance coordination.

  • Effective sales and marketing abilities to maximize occupancy rates.

  • Knowledge of tenant management, lease agreements, and related legal requirements.

  • Experience training and managing estate personnel (cleaners, security, landscapers).

  • Excellent communication, organizational, and leadership capabilities.

  • Familiarity with property management software and reporting tools is an advantage.

  • Bachelor’s degree in Engineering, Real Estate, Marketing, Project Management, or related field (2nd Class Upper Honours).

  • Minimum B+ mean score at high school level.

  • Professional certifications in estate management, valuation, or facilities management are a plus.
