Job Title: Customer Service Executive - Imports
Company: Fracht Uganda
Duty Station: Kampala, Uganda
Reports to: Head of Customer Service
Fracht Uganda is seeking a highly motivated, experienced, and detail-oriented Customer Service Executive – Imports to join its Commercial Department. The successful candidate will ensure that clients receive the highest level of service and satisfaction by coordinating import processes, monitoring shipment progress, and maintaining clear communication with all stakeholders.
Duties, Roles and Responsibilities
Coordination with Internal & External Stakeholders
Receive and process client instructions, documentation, and inquiries.
Open client files and dispatch documents accordingly.
Prepare and issue quotations; verify confirmed business against quotations.
Review documentation for accuracy and completeness.
Coordinate import activities with Operations, Finance, agents, and other service providers.
Monitor progress of transactions daily and issue invoices to clients.
Monitoring & Follow-Up
Assess documentation upon order receipt for smooth processing.
Follow up on missing documents or information with clients and stakeholders.
Coordinate invoice payments with the Finance Department and clients.
Notify clients in advance about pending payments to prevent delays in shipment release.
Customer Service Delivery
Keep clients informed about the status of their shipments.
Recommend process improvements for enhanced customer experience.
Provide regular cargo status reports (daily, monthly, annual).
Offer solutions to client challenges during import/export processes.
Attend client meetings as requested.
Client Relationship Management
Submit and execute client visit schedules.
Conduct client visits and submit detailed reports to management.
Reporting & Compliance
Report incidents, accidents, and irregularities promptly.
Process and document client complaints using company procedures.
Record Keeping
Update shipment files daily and ensure proof of delivery is filed.
Maintain accurate data in the electronic cargo tracking system.
Other Duties
Carry out any additional responsibilities assigned by the supervisor.
Qualifications, Education and Competencies
Bachelor’s degree in Business, Economics, or a related field.
Certificate in Clearing and Forwarding.
Certificate in Customer Care.
Proficiency in computer applications.
Experience
At least 3 years of relevant experience, preferably in a freight forwarding firm.

Ability to multitask and work effectively under pressure.
Fluency in English with a pleasant and professional speaking manner.
