Job Description

Job Title: Administration Assistant

Duty Station: Fort Portal – Uganda

Reports to: HR & Administration Manager / Branch ManagerLocation: Fort Portal


The Administration Assistant will be responsible for supporting daily human resource and administrative operations at the branch. This role acts as a vital link between the branch team and the central HR department to ensure seamless coordination and policy compliance.

Duties, Roles and Responsibilities

Human Resources Support

  • Coordinate recruitment activities by receiving and reviewing walk-in applications.

  • Support onboarding of new staff at the branch.

  • Organize branch-level training sessions as per the HR training calendar.

  • Address employee complaints and grievances in line with company policy.

  • Liaise between the branch staff and the central HR office.

  • Maintain and retrieve HR documents and personnel files.

  • Facilitate and document staff exit processes.


Administrative Functions

  • Provide general administrative support to branch operations.

  • Manage front-desk duties and cover reception tasks.

  • Assist in budget preparation by gathering resource requirements.

  • Maintain proper documentation, filing, and office organization.

  • Ensure proper functioning and maintenance of office equipment.

  • Coordinate the timely delivery, inspection, and allocation of motorcycles and accessories.

  • Oversee renewal and application of operational licenses and certifications.

  • Monitor inventory levels and order office supplies as needed.

  • Ensure compliance with security procedures and coordinate guard deployments at the branch.

  • Perform other tasks assigned by the supervisor.

Qualifications, Education and Competencies

  • Bachelor’s degree in Human Resource Management, Business Administration, Office Management, or a related field.

  • 1–2 years of experience in a similar administrative or HR support role.

  • Ability to handle confidential information with discretion.

  • Excellent organizational and problem-solving skills.

  • Proficiency in Microsoft Office and Google Workspace applications.

  • Strong written and verbal communication skills.

  • Ability to work independently and remain composed under pressure.

  • Familiarity with HR systems and software is an added advantage.
