Job Description
Job Title: Administration Assistant

Duty Station: Fort Portal – Uganda
Reports to: HR & Administration Manager / Branch ManagerLocation: Fort Portal
The Administration Assistant will be responsible for supporting daily human resource and administrative operations at the branch. This role acts as a vital link between the branch team and the central HR department to ensure seamless coordination and policy compliance.
Duties, Roles and Responsibilities
Human Resources Support
Coordinate recruitment activities by receiving and reviewing walk-in applications.
Support onboarding of new staff at the branch.
Organize branch-level training sessions as per the HR training calendar.
Address employee complaints and grievances in line with company policy.
Liaise between the branch staff and the central HR office.
Maintain and retrieve HR documents and personnel files.
Facilitate and document staff exit processes.
Administrative Functions
Provide general administrative support to branch operations.
Manage front-desk duties and cover reception tasks.
Assist in budget preparation by gathering resource requirements.
Maintain proper documentation, filing, and office organization.
Ensure proper functioning and maintenance of office equipment.
Coordinate the timely delivery, inspection, and allocation of motorcycles and accessories.
Oversee renewal and application of operational licenses and certifications.
Monitor inventory levels and order office supplies as needed.
Ensure compliance with security procedures and coordinate guard deployments at the branch.
Perform other tasks assigned by the supervisor.
Qualifications, Education and Competencies
Bachelor’s degree in Human Resource Management, Business Administration, Office Management, or a related field.
1–2 years of experience in a similar administrative or HR support role.
Ability to handle confidential information with discretion.
Excellent organizational and problem-solving skills.
Proficiency in Microsoft Office and Google Workspace applications.
Strong written and verbal communication skills.
Ability to work independently and remain composed under pressure.
Familiarity with HR systems and software is an added advantage.
