Job Description
Job Title: Bond Keeper

Duties, Roles and Responsibilities
Receive and process cargo under Transit Entry T1 in the BWIMS (Bonded Warehouse Inventory Management System) and ASYCUDA (Automated System for Customs Data) platforms.
Collaborate with bond officers and declarants to verify the accuracy of received cargo against documentation.
Maintain comprehensive records of all goods warehoused, ensuring availability for examination by customs officials at any time.
Supervise stacking of goods in the bonded warehouse to facilitate access and examination of every package as required by customs regulations.
Monitor and report on the warehousing period of all goods stored in the warehouse, ensuring compliance with customs regulations.
Coordinate with line supervisors to provide and manage labour and materials necessary for storing, examining, packing, marking, weighing, and stocktaking of warehoused goods.
Maintain accountabilities for all goods stored in the bonded warehouse from entry to release, ensuring compliance with customs regulations.
Conduct regular inspections and self-audits of the bonded warehouse to ensure compliance with set standards and regulations.
Conduct periodic comprehensive stocktaking of all goods in the bond to reconcile physical inventory with records.
Provide daily manual and electronic standage to verify actual goods received and exited compared to entries in the system.
Update and reconcile manual registers to ensure accuracy and consistency with electronic records.
To update loading out of containers in the Bwims system (bonded warehousing information management system).
Ensuring Stakeholder engagement to ensure smooth flow of operations.
Prepare and submit weekly and monthly stock reports to the line supervisor and customs authorities.
Manage filing and documentation processes, including T1s, IM7s, IM4s, and Ex8 entries, in compliance with customs regulations.
Ensure proper hygiene maintenance of bonded warehouse stores, including cleaning, removing cobwebs, scrubbing floors, and dusting.
Ensuring that expiry dates for warehoused cargo is closely monitored and notification sent to customs officers prior to the expiry of goods.
Ensuring clear separation of good under want of entry and notifying customs timely.
Follow up unvalidated T1s/Red Lane entries with customs officers for customs management.
Follow up on auctioned cargo claims and ensure that all the supporting documents are properly filed.
Closely monitoring the warehouse period of the warehouse cargo and notifying customers to clear it up before their due expiry date.
Management of resident customs and UNBS officers’ welfare.
Securing of company assets.
Timely response to any audit queries by customs.
Follow up of all outstandings with customs to ensure clearance in the system.
Supervision of the warehouse staff to ensure that they deliver on their KPI’s.
Execution of the annual customs bonded warehouse operating license
S&R policy adherence.
Any other tasks that may be assigned by the operations supervisor
Qualifications, Education and Competencies
A bachelor’s degree in Procurement, Logistics, Warehouse Management, or any other relevant field.
Possession of the Eastern Africa Customs and Freight Forwarding Practicing Certificate (EACFFPC).
4 years of working experience in a similar role within a customs bonded warehouse environment.
Proficient understanding of the BWIMS system, Asycuda and any other relevant customs management systems.
Strong attention to detail and ability to maintain accurate records in a regulated environment.
The ability to multitask and manage multiple responsibilities effectively.
Ability to work under minimum supervision
Good Interpersonal skills to deal with all stakeholders
Knowledge of the Container handling business and other related functions.
High level of confidentiality and integrity
Efficiency, planning, leadership and organizational skills
