About the Organisation
Bugema University is a private, co-educational institution of higher learning located in Kalagala, Luweero District, Uganda, approximately 33 kilometers northeast of Kampala. Established in 1948 as the Bugema Missionary Training School to train teachers and pastors for the Seventh-day Adventist Church in East Africa, it evolved into Bugema Missionary College and later Bugema Adventist College.
In 1994, it attained university status, and in 1997, it was licensed by the Uganda Ministry of Education and Sports to operate as a university. Affiliated with the Seventh-day Adventist Church, Bugema University is part of the global Seventh-day Adventist education system, the world's second-largest Christian school system.
The university offers a diverse range of academic programs across various disciplines, including Business Administration, Education, Theology and Religious Studies, Science and Technology, Agriculture and Applied Sciences, Health and Allied Sciences, and Social Sciences.
It provides undergraduate, postgraduate, and doctoral programs, some in collaboration with international institutions like the University of Eastern Africa, Baraton (Kenya), and Central Luzon State University (Philippines). Job Description
The Assistant Administrator will be responsible for performing a wide range of administrative and office management tasks to support institutional operations. This includes managing records, coordinating departmental activities, and ensuring proper communication and workflow among staff. The role requires a dynamic individual with strong interpersonal skills, the ability to handle multiple tasks, and a commitment to upholding the university's core values. The candidate will also be expected to adapt to evolving administrative technologies and maintain high standards of confidentiality.
Duties, Roles and Responsibilities
Provide day-to-day administrative support to university departments and senior staff.
Maintain proper filing systems and records management.
Schedule meetings, prepare agendas, and record meeting minutes.
Manage correspondence and ensure timely communication flow.
Assist in document preparation and general office duties.
Operate and manage office equipment and supplies.
Ensure compliance with internal administrative policies and procedures.
Support budgeting, procurement, and basic financial operations.
Foster effective internal and external communication.
Maintain professionalism and confidentiality in all responsibilities.
Qualifications, Education and Competencies
Ugandan citizen, below 50 years of age.
Diploma in Office Administration, Secretarial Studies, Records Management, or a related discipline.
Minimum of five (5) years of experience in a senior administrative role.
Strong written and verbal communication skills.
Excellent organizational and time management abilities.
Proficiency in Microsoft Office applications and office equipment.
Ability to solve problems, multitask, and adapt to changing administrative needs.
Basic understanding of financial matters is desirable.
High attention to detail and commitment to accuracy.
Demonstrated confidentiality and integrity in handling official information.
