Duties, Roles and Responsibilities
Office Management and Coordination
Oversee the day-to-day administrative operations of the office, ensuring a smooth workflow and efficient communication among team members.
Maintain organized filing systems for both physical and digital records, ensuring accessibility and confidentiality.
Support to Program Activities
Provide logistical and administrative support for program activities, including organizing meetings, workshops, and community events.
Prepare, compile, and distribute program-related documents, reports, and presentations as needed.
Financial and Procurement Assistance
Assist in monitoring office expenses, processing payments, and maintaining accurate financial records.
Manage procurement processes for office supplies and program materials, ensuring timely delivery and cost-effectiveness.
Communication and Correspondence
Handle routine correspondence, including emails, phone calls, and letters, ensuring professional and timely responses.
Act as a point of contact for stakeholders, partners, and beneficiaries, addressing inquiries and relaying information to the appropriate team members.
Support to Vulnerable Communities
Coordinate with program staff to ensure elderly women and children with disabilities receive timely support and assistance.
Maintain a welcoming and supportive environment for beneficiaries visiting the office or participating in programs.
Qualifications, Education and Competencies
Educational Background:
A Diploma or Bachelor’s Degree in Business Administration, Office Management, Social Work, or a related field from a recognized institution.
Work Experience:
At least 2 years of proven experience in an administrative or office support role, preferably in the NGO sector.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Strong organizational and multitasking skills.
Ability to maintain accurate records and manage files efficiently.
Communication Skills:
Excellent written and verbal communication skills in English.
Strong interpersonal skills with the ability to interact professionally with diverse stakeholders.
Behavioral Attributes:
High level of integrity, professionalism, and discretion in handling sensitive information.
A proactive attitude with the ability to work independently and as part of a team.
Empathy and passion for working with vulnerable groups, including elderly women and children with disabilities.
Additional Requirements:
Familiarity with NGO operations and an understanding of issues affecting vulnerable communities.
Basic knowledge of bookkeeping or financial administration is an added advantage.
Resident or willing to relocate to Namugongo.
