The Administrative Assistant (Front Desk) serves as the first point of contact for patients and visitors at the medical center. The role involves managing front desk operations, providing excellent customer service, scheduling appointments, and performing general administrative tasks to ensure smooth operations.

How to Apply

Key Responsibilities

  1. Front Desk Operations

    • Greet patients and visitors warmly and professionally.

    • Answer and direct phone calls, emails, and inquiries to the appropriate departments.

    • Manage the front desk area to ensure it is tidy and organized at all times.

  2. Appointment Scheduling

    • Schedule and confirm patient appointments using the medical center’s scheduling system.

    • Coordinate with medical staff to avoid conflicts and ensure smooth patient flow.

    • Notify patients of upcoming appointments and follow-ups.

  3. Patient Registration

    • Assist patients with completing registration forms and updating their personal information.

    • Verify insurance details and collect necessary documentation for billing.

    • Maintain confidentiality and accuracy in handling patient records.

  4. Billing and Payments

    • Handle patient billing inquiries and process payments.

    • Provide receipts for transactions and assist patients with insurance-related questions.

    • Reconcile daily cash and card transactions and prepare reports.

  5. Administrative Support

    • Assist in managing incoming and outgoing mail.

    • Order and maintain office supplies for front desk operations.

    • Support medical staff with administrative tasks as needed.

  6. Customer Service

    • Respond promptly to patient concerns and complaints, escalating issues to the appropriate personnel when necessary.

    • Provide general information about the medical center’s services and policies.

    • Maintain a welcoming and professional demeanor to enhance patient satisfaction.

Qualifications

  • Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field.

  • Proven experience in a front desk or administrative role, preferably in a healthcare setting.

  • Familiarity with medical scheduling and billing systems is an advantage.


Skills and Competencies

  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite and office management software.

  • High attention to detail and accuracy in handling records.

  • Ability to maintain confidentiality and professionalism.


Work Environment

  • Medical center reception area.

  • Frequent interaction with patients, visitors, and medical staff.

  • May require flexibility to work in shifts, including evenings or weekends.


Additional Requirements

  • Knowledge of healthcare policies and procedures is a plus.

  • Strong problem-solving skills and the ability to work under pressure.
