Case Medical Services

An Administration Manager oversees the administrative operations of an organization, ensuring efficient workflow and smooth functioning of the office or department. They play a key role in coordinating administrative tasks, managing staff, and implementing policies and procedures

Operational Management:

  • Oversee day-to-day administrative operations, ensuring the smooth functioning of the office environment.

  • Ensure that all administrative processes, such as filing, scheduling, and correspondence, are carried out efficiently and accurately.

  • Develop and implement office policies and procedures to improve efficiency and compliance with organizational standards.


Supervision of Administrative Staff:

  • Manage, supervise, and provide guidance to administrative staff, including office assistants, receptionists, clerks, and other support personnel.

  • Assign tasks, monitor performance, and provide training or professional development opportunities as needed.

  • Conduct performance reviews and provide feedback to improve staff performance.


Budgeting & Resource Management:

  • Prepare and manage the department’s budget, ensuring cost control and efficient use of resources.

  • Monitor office supply inventories and order materials as necessary, ensuring cost-effective purchasing.

  • Coordinate with vendors and service providers for office supplies, equipment, and maintenance.


Facilities & Equipment Management:

  • Ensure that office spaces, equipment, and infrastructure (e.g., IT systems, telephones) are properly maintained and in working order.

  • Bachelor’s degree in business administration, management, or a related field.

  • A master’s degree in business administration (MBA) or a related field may be advantageous for senior positions.


Experience:

  • Several years of experience (typically 3–5 years or more) in an administrative role, with increasing responsibility.

  • Prior experience managing staff and overseeing office operations is usually required.

  • Experience with budgeting, resource management, and project coordination.


Skills:

  • Leadership & Management: Strong leadership skills to manage and motivate administrative staff and coordinate office functions.

  • Organizational Skills: Ability to manage multiple tasks, prioritize workloads, and ensure efficient office operations.

  • Communication: Excellent verbal and written communication skills for effective interaction with staff, vendors, and senior management.

  • Problem-Solving: Strong analytical and problem-solving abilities to handle operational challenges and conflicts.

  • Budgeting & Financial Skills: Ability to prepare and manage budgets, including cost control and financial reporting.

  • Technology Proficiency: Proficient in office management software (e.g., MS Office, ERP systems) and digital tools to manage workflow and communications.

  • Attention to Detail: Ensures accuracy in processes, documentation, and reporting.
