Job Description
Job Title: Administration and Logistics Officer
Organization: BRAC Uganda Bank Ltd
Location: Uganda
Reports to: Administration Supervisor
Purpose of the Role
The Administration and Logistics Officer will support BRAC Uganda Bank Ltd (BUBL) by ensuring smooth, cost-effective, and transparent execution of administrative and logistics operations. The role ensures compliance with organizational policies and contributes to efficient service delivery across the Bank.
Duties, Roles and Responsibilities
Coordinate day-to-day administrative and logistics functions in an efficient, cost-effective, and policy-compliant manner.
Monitor and track utilization, condition, and maintenance of Bank assets (vehicles, generators, and equipment), ensuring proper handling and adherence to asset management policies.
Ensure fuel usage for Bank vehicles is tracked, recorded, and reported periodically to support fuel efficiency and cost control.
Work with the Administration Supervisor and branch teams to monitor tenancy agreements for all CI/Satellite branches and coordinate timely renewals with the Procurement and Logistics Department.
Assist the Administration unit in maintaining a satisfactory audit rating by conducting regular self-assessments, maintaining proper documentation, and addressing audit exceptions promptly under supervisor guidance.
Ensure closure of unit, branch, compliance, risk, and Bank of Uganda (BoU) audit findings within established deadlines.
Maintain accurate inventory and stock registers in line with policy guidelines.
Monitor stock levels and raise requisitions for timely replenishment.
Receive and inspect supplies for quality and quantity compliance with purchase orders.
Distribute supplies to branches and departments based on approved requests, and maintain thorough documentation of both received and issued items.
Update inventory systems and generate regular reports on stock usage, balances, and trends.
Liaise with the procurement team to track deliveries, resolve supply issues, and report discrepancies or damages for corrective action.
Oversee the secure handling, storage, and safeguarding of supplies to minimize loss, damage, or misuse.
Qualifications, Education and Competencies
Required Qualifications and Experience
Bachelor’s degree in Business Administration, Procurement & Logistics Management, Supply Chain Management, or a related field.
Minimum of 2 years of relevant experience in a similar role within a busy operational environment.
Additional professional certification or a postgraduate qualification in Administration or Procurement is an added advantage.
Knowledge, Skills, and Competencies
Service-oriented and customer-focused mindset.
Strong analytical and attention-to-detail skills.
Effective time management and multitasking abilities.
High level of customer service and interpersonal awareness.
Excellent communication and coordination skills.
Leadership qualities and ability to manage vendors effectively.
Negotiation, budgeting, and basic project management skills.
